Hilton Kuala Lumpur is seeking a Banquet Sales Coordinator to handle enquiries for functions, conduct site inspections, and manage banquet reservations

You will prepare tailored proposals, follow SOP response times, and coordinate with Sales Managers to finalize contracts while maintaining accurate data in Delphi and ensuring profitable event outcomes.

Responsibilities

• Respond to enquiries for functions (by telephone and walk-in guest).
• Conduct site inspections in the absence of Sales Manager / Senior Sales Manager.
• Assess venue requirements for proposed functions and reserve appropriate spaces in the system.
• Prepare proposal letters based on clients' requirements with timely responses.
• Maintain accuracy of all reservations and data in Delphi Banquet Reservation System.
• Expedite traces daily for forecast accuracy.
• Follow up with clients on proposals and finalize arrangements in contracts.
• Answer and place telephone calls per company standards.
• Keep track of appointments and meeting schedules.
• Upsell where possible and control expenses to maximize net profit.
• Project discretion and maintain good relations with clients and internal teams.
• Perform assignments as delegated by DOS / ADOS / Managers (GC&E).

• Respond to enquiries for functions (by telephone and walk-in guest).

• Conduct site inspection in the absence of respective Sales Manager / Senior Sales Manager.

• Assess the physical requirements opf the proposed function (no. of pax, time, and type of function) and reserve an appropriate venue for the client in the banquet reservation system.

• Prepare proposal letter based on the clients' requirements, ensures 8 hours response time or not more than 24 hours based on the department SOP.

• Maintain accuracy of all reservations and other data in Banquet Reservation System (Delphi)

• To expedite all traces on daily basis of all reservation made in the Banquet Reservation System, i.e. prospect, wait list, etc to maintain forecast accuracy.

• Follow up with clients on proposals and finalize all the arrangements in contract.

• Answer and place telephone calls based on the company set standard.

• Keep track of appointments and various meeting schedules.

• Up-selling whenever possible as well as control expenses relating to the groups or function to ensure maximum net profit.

• Project an image of discretion at any time while maintaining good relations with clients and all operating sections.

• Performs any assignments as may be delegated by DOS / ADOS / Managers (GC&E).
