Job summary

Asia Green Construction in Penang seeks an experienced Sales Administration Officer to manage end-to-end sales processes, from booking to SPA execution, including loan documentation, billing and collections.

You will collaborate with agencies, purchasers, panel lawyers, financiers, and internal teams to ensure smooth operations, maintain records, and ensure SOP compliance.

Qualifications

• Experience in sales administration processes and workflows.
• Knowledge of SPA, loan documentation, billing and collections.
• Familiar with SOPs and statutory requirements.
• Competent in preparing management reports.

Responsibilities

• Oversee the full sales administration process from booking to SPA execution and loan documents.
• Coordinate with exclusive sales agencies, purchasers, lawyers, financiers and internal teams for smooth operations.
• Track booking status, SPA conversion, loan progress, billing and collections, and handle cancellations.
• Prepare and verify sales documents and ensure accurate data entry in company systems.
• Ensure compliance with SOPs and statutory requirements in all sales transactions.
• Update HIMS and Road Runner systems; maintain accurate sales records.
• Manage Bumi Reserved Unit and IWK submissions as required; assist in weekly and monthly sales reporting.
• Support Sales & Marketing in daily operations and other duties as assigned.

Oversee the entire sales administration process from booking to Sale and Purchase Agreement (SPA) execution, loan documentation, billing, and collections.

Coordinate with Stakeholders:

Work closely with exclusive sales agencies, purchasers, panel lawyers, end financiers, and internal departments to ensure smooth sales operations.

Track booking status, SPA conversion, loan approval progress, billings, collections, and handle cancellation cases.

Document Preparation and Verification:

Prepare and verify sales documents and purchaser records, ensuring accurate data entry into the company’s systems.

Compliance:

Ensure all sales transactions comply with the company’s Standard Operating Procedures (SOPs) and statutory requirements.

System Updates and Record Maintenance:

Handle updates in HIMS and Road Runner systems and maintain accurate sales records.

Bumi Reserved Unit Management:

Manage Bumi Reserved Unit and Bumi Release applications, including Indah Water Konsortium (IWK) and other related submissions as required.

Reporting:

Assist in preparing weekly and monthly sales reports and other management reports.

Support the Sales & Marketing team in daily operations and sales-related activities.

Other Duties:

Perform any other duties assigned by Management
