About the role

Acuvet Veterinary Clinic is seeking a professional and welcoming Receptionist to join our team. This is a full-time position based at our clinic in Bayan Lepas. As the first point of contact for our clients and their beloved pets, you will play a vital role in creating a positive experience for visitors whilst ensuring smooth day-to-day operations. This position is essential as you will be the face of Acuvet Veterinary Clinic and instrumental in maintaining our reputation for excellent customer service.

What you'll be doing

• Greeting clients and their pets in a warm, professional and compassionate manner upon arrival at the clinic
• Managing client check-in and check-out processes, including verifying information and processing payments accurately
• Scheduling veterinary appointments and maintaining the clinic's appointment book in an organised and efficient manner
• Answering telephone enquiries, providing information about services, and directing calls to appropriate staff members
• Maintaining and updating client records, medical histories and pet information in the clinic management system
• Processing invoices, receipts and payments using clinic software and handling cash or card transactions securely
• Managing clinic inventory levels and ordering supplies as needed
• Providing general administrative support to veterinarians and clinical staff
• Maintaining a clean, welcoming and organised reception area
• Handling client enquiries and concerns with professionalism and escalating complex issues to senior staff when necessary

What we're looking for

• Excellent communication and interpersonal skills, with the ability to interact professionally with clients from diverse backgrounds
• Strong organisational and time management abilities, with the capacity to manage multiple tasks simultaneously
• Proficiency in using computer systems and clinic management software; willingness to learn new systems quickly
• Competency in handling cash transactions and basic bookkeeping procedures
• A genuine passion for animal welfare and a calm demeanour when working with animals and anxious pet owners
• Attention to detail and accuracy in record-keeping and data entry
• Professional telephone etiquette and the ability to multitask in a busy environment
• Reliability, punctuality and a positive attitude towards teamwork
• Flexibility to adapt to the clinic's operational requirements
• Previous experience as a receptionist, preferably in a medical practice or similar customer-facing healthcare environment will be advantageous
