Job summary

Double K Air Conditioning & Engineering Sdn Bhd seeks a detail-oriented administrator with a Mechanical Engineering background to manage technical documents, tenders, drawings and correspondence. You will coordinate with multiple departments and external units, participate in meetings, and ensure accurate minutes and distribution of instructions.

The role involves drafting project inspection formats, supporting site progress tracking, and creating/modifying drawings in AutoCAD or Gstar.

Qualifications

• Diploma in Engineering (Mechanical) or equivalent.
• Experience in Air Conditioning or Mechanical Ventilation is preferred.
• Proficient in AutoCAD and MS Office; good writing and coordination skills.
• Mandarin, English and Bahasa Malaysia language proficiency required; Mandarin preferred for client comms.

Responsibilities

• Collect, collate and manage technical documents, tenders, drawings and related information.
• Draft and issue official letters, emails, notices, and minutes; coordinate information flow.
• Coordinate between departments and external units; attend meetings and record minutes.
• Assist project progress tracking: weekly/monthly updates, progress claims, certificates, and cost planning.
• Draft and finalize project inspection formats and document templates.
• Translate director instructions into actionable tasks for teams; ensure timely execution.
• Understand site progress; support project manager with budget, materials, and plans.
• Create or modify drawings using AutoCAD or Gstar per requirements.
• Liaise with suppliers and subcontractors for materials and equipment inquiries.
• Review and approve final material selections.
• Contribute to tender drawings and quantity calculations.
• Maintain and categorize documents after project completion.
