Job summary

Chocofac in Malaysia is seeking a Purchasing cum Product Development professional to drive new product concepts from idea to launch. You will manage purchasing for raw materials and packaging while coordinating with Production, QA/QC, and Sales to ensure timely launches.

Responsibilities include sourcing materials, obtaining quotes, costing, supplier follow-up, maintaining documentation, and actively tracking each project's progress with a Product Development Tracker.

Qualifications

  • Diploma or degree in supply chain, business, or food-related field.
  • Experience in purchasing, R&D, or product development is advantageous.
  • Good communication and numerical skills for costing and supplier discussions.

Responsibilities

  • Lead end-to-end product development from concept to launch.
  • Source raw materials and packaging, compare quotations and costs.
  • Coordinate with QA/QC, Production, and Sales for trials and approvals.
  • Maintain documents and a Product Development Tracker.

Purchasing cum Product Development role is responsible for managing the company's purchasing activities while actively driving new product development projects from idea generation to commercial launch.

The role requires the employee to identify new product opportunities, develop product concepts, prepare mock-ups and presentations, source raw materials and packaging materials, obtain and compare quotations, coordinate product trials, prepare costing, maintain proper documentation, and follow up with all relevant parties until the project is completed.

The employee is expected to take ownership of product development projects and proactively follow up on outstanding matters rather than waiting for instructions.

KEY RESPONSIBILITIES
A. PRODUCT DEVELOPMENT
  • Proactively come up with new product ideas and concepts based on market trends, customer requirements, seasonal opportunities, competitor products, and company direction.
  • Research and identify new chocolate, confectionery, baking, packaging, gift set, and other food product opportunities.
  • Develop initial product concepts including:
  • Product concept
  • Product name
  • Flavour/variant
  • Proposed ingredients
  • Product size
  • Packaging concept
  • Target market
  • Estimated selling price
  • Prepare product mock-ups, packaging mock-ups, sketches, presentations, and visual concepts for Management review.
  • Present new product ideas to Management and obtain feedback and approval.
  • Make amendments to product concepts based on Management feedback.
  • Coordinate and conduct product trials together with Production and QA/QC.
  • Record trial results and coordinate necessary improvements to the formula, ingredients, appearance, packaging, taste, texture, and costing.
  • Assist in improving and reformulating existing products where required.
  • Follow up on all product development projects from initial concept until final approval and launch.
B. RAW MATERIAL & INGREDIENT SOURCING
  • Identify and source suitable raw materials and food ingredients required for new product development.
  • Source ingredients such as cocoa powder, fats, milk powders, flavours, colours, inclusions, nuts, fillings, additives, and other food ingredients.
  • Contact existing and potential suppliers to request:
  • Samples
  • Product specifications
  • Quotations
  • MOQ
  • Lead time
  • Payment terms
  • Delivery terms
  • COA
  • Halal certification
  • Other relevant technical documents
  • Compare different suppliers and materials based on quality, suitability, price, MOQ, lead time, and availability.
  • Coordinate with QA/QC to ensure new raw materials are suitable and meet the company's requirements before approval.
  • Maintain a database of potential and approved raw material suppliers.
  • Identify alternative raw materials and suppliers for cost reduction and supply continuity.
C. PACKAGING MATERIAL SOURCING
  • Source suitable packaging materials for new and existing products.
  • Identify packaging suppliers for pouches, wrappers, boxes, cartons, labels, stickers, tubs, jars, and other packaging formats.
  • Obtain quotations from local and overseas packaging suppliers.
  • Compare packaging quotations based on:
  • Material specification
  • Size
  • Thickness
  • Printing colours
  • MOQ
  • Price
  • Cylinder/plate charges
  • Lead time
  • Shipping terms
  • Request packaging samples and mock-ups for evaluation.
  • Coordinate with suppliers and designers regarding packaging specifications and artwork.
  • Follow up on packaging artwork, printing, samples, approvals, and production.
  • Maintain updated packaging specifications and supplier information.
D. QUOTATION & COSTING
  • Obtain quotations for all raw materials, ingredients, packaging materials, and other items required for product development and purchasing.
  • Request quotations from multiple suppliers where appropriate for price comparison.
  • Prepare quotation comparison sheets for Management review.
  • Calculate raw material and packaging costs.
  • Prepare preliminary and final product costing for new products.
  • Monitor supplier price changes and update costing accordingly.
  • Identify opportunities to reduce product cost through alternative suppliers, materials, packaging, or purchasing quantities.
  • Ensure all costing information is accurate and properly documented.
E. PURCHASING & PROCUREMENT
  • Handle day-to-day purchasing requirements for raw materials, packaging materials, consumables, and other company requirements.
  • Prepare Purchase Orders based on approved requirements.
  • Follow up with suppliers on order confirmation, production, delivery, and outstanding orders.
  • Monitor supplier delivery schedules to ensure materials arrive on time.
  • Coordinate with Warehouse and Production regarding material requirements and availability.
  • Maintain proper purchasing records and documentation.
  • Monitor supplier performance in terms of price, quality, delivery, and service.
  • Negotiate prices, MOQ, lead times, payment terms, and other purchasing conditions where applicable.
  • Source alternative suppliers when required.
F. PRODUCT DEVELOPMENT PROJECT FOLLOW-UP

The employee is responsible for actively following up on every product development project.

This includes following up on:

  • Management approval
  • Raw material samples
  • Packaging samples
  • Packaging specifications
  • Product trials

Laboratory testing where required

QA/QC approval

Production trial

Final product approval

Raw material purchasing

The employee must maintain a Product Development Tracker showing the project status, pending actions, person responsible, supplier, expected completion date, and current progress.

G. PRODUCT DEVELOPMENT DOCUMENTATION & FILING

For every new product, the employee shall maintain a complete Product Development File containing, where applicable:

  • Product concept
  • Product proposal
  • Formula and revisions
  • Raw material information
  • Raw material samples
  • Packaging specifications
  • Packaging mock-ups
  • Product costing
  • Trial records
  • Trial photographs
  • QA/QC feedback
  • Production trial records
  • Final approved specifications
  • Final packaging artwork
  • Relevant certificates and technical documents
  • Other supporting documents

All documents must be properly filed, updated, traceable, and easy to retrieve.

H. SUPPLIER MANAGEMENT
  • Develop and maintain good relationships with existing and potential suppliers.
  • Search for new local and overseas suppliers.
  • Evaluate suppliers based on price, quality, reliability, MOQ, lead time, and service.
  • Follow up on supplier issues, delayed deliveries, price changes, samples, quotations, and documentation.
  • Maintain an updated supplier database.
  • Conduct regular price comparisons to ensure competitive purchasing.
I. CROSS-DEPARTMENT COORDINATION

Work closely with:

Management
For product approval, pricing, product direction, and purchasing decisions.

QA/QC
For ingredient approval, specifications, food safety, testing, and product requirements.

Production
For product trials, manufacturing requirements, and commercial production.

Warehouse
For stock availability, incoming materials, and storage requirements.

Finance
For purchasing documentation, supplier invoices, payment matters, and costing.

Sales & Marketing
For customer requirements, market trends, product concepts, packaging, and product launch.

Requirements
  • Diploma/Degree in Supply Chain, Business, Food Technology, Food Science, Marketing, or a related field.
  • Experience in purchasing, procurement, food manufacturing, R&D, or product development is an advantage.
  • Strong interest in food/chocolate product development and purchasing.
  • Creative and able to generate new product ideas.
  • Good communication, negotiation, and presentation skills.
  • Good numerical and analytical skills for costing and quotation comparison.
  • Good knowledge of Microsoft Office, particularly Excel.
  • Organised and detail-oriented.
  • Strong follow-up and coordination skills.
  • Able to communicate with local and overseas suppliers.
  • Able to work independently and manage multiple projects simultaneously.
  • Proactive, responsible, and able to take ownership of assigned projects.
