Job summary

Freight Mart International SDN. BHD. is seeking a procurement and administrative professional for our Malaysia branch in Kuala Lumpur.

You will ensure accurate stock receipting into the inventory system and maintain logs for arrivals, charges, and non-conformances, interfacing with forwarders for container deliveries. Role requires 3–4 years in procurement/purchasing with strong English skills and Mandarin proficiency for client communications.

Qualifications

• Minimum 3–4 years of experience in procurement/purchasing and administrative functions.
• Proficient in English; fluent spoken English required.
• Mandarin speaker required to communicate with Mandarin-speaking clients.
• Willing to learn, take on new responsibilities, and work additional hours when necessary.
• Experience or skills in artwork/designing would be an added advantage.

Responsibilities

• Accurate and timely receipting of stock orders into the inventory system.
• Loading data onto process logs covering arrival notifications, unload sheets, non-conformances and order details.

• Escalating product/supplier issues promptly.
• Reporting discrepancies related to purchasing including stock shortages.
• Maintain inventory system data and receipts communications with stakeholders.
• Liaise with forwarding agent for container deliveries.
• Maintenance on systems as required.
• Forecasting and reordering of the goods.
• Ad hoc administration as requested by management with regard to your skills and expertise.

Job description

Accurate and timely receipting of stock orders into the inventory system.

Loading of data onto applicable process logs covering arrival notifications, unload sheets, non-conformances and order details.

Ensuring correct contract costings are applied to documentation/invoices,

Escalating product/supplier issues in a timely manner

Reporting of discrepancies related to purchasing including stock shortages

Contribute to the accurate maintenance of the Inventory system

Communication to relevant stakeholders of receipts.

Liaise closely with forwarding agent forcontainer deliveries

Maintenance on systems as required

2) Compliance

1st point of escalation to identify non compliances including stock discrepancies between invoice and physical receipt Unload sheets, costing variances and quality issues.

Escalate non compliances to appropriate stakeholder for corrective action

Follow up on resolutions for all non-conformances.

3) Administration

Collation of import documentation, purchase orders and freight invoices

Comprehensive and accuraterecord keeping

Processing and logging container unload sheets

Maintenance of non-conformance log

Maintain system data as required

Follow up and maintenance of shipment ETA

Forecasting and reordering of the goods

Any other ad hoc administration request by management with regard to your skills and expertise

Required Experience/Skills:

Minimum 3 - 4 years of experience in procument/purchasing & administrative

Proficient in English, fluent in English speaking is a must

Mandarin speaker required to effectively communicate with Mandarin-speaking clients.

Follow Australia WA Public Holiday

Willing to learn, take on new responsibilities, and work additional hours when necessary.

Experience or skills in artwork/designing would be an added advantage.

Ability and desire to solve problems quickly and independently

Ability to handle multiple tasks at a time with minimal supervision, effectively and efficiently
