Job summary

Swisslog Malaysia Sdn Bhd is seeking an experienced accounts payable professional to support our finance team in Selangor. You will process vendor invoices in SAP, manage employee expense claims in Concur, and ensure adherence to internal controls and tax requirements.

You will collaborate with procurement and approvers to resolve invoice issues, perform AP month-end activities, and assist audits with supporting documents and schedules while maintaining accurate records in SAP, VIM, and Concur.

Responsibilities

• Validate, review, and process vendor invoices in SAP, ensuring compliance with PO, GR, policies, tax, and internal controls.
• Download recurring bills, utility invoices, and supplier invoices from vendor portals; submit via VIM for approval and posting.
• Review and process employee expense claims and cash advance requests in Concur; acting as a Concur Admin.
• Review and reconcile corporate credit card transactions; prepare GJ entries for monthly close.
• Record supplier payments, employee reimbursements, and banking transactions in SAP; ensure proper accounting and reporting.

Job description

• Validate, review, and process vendor invoices in SAP, ensuring compliance with purchase orders, goods receipt records, company policies, tax regulations, and internal control requirements.
• Download recurring bills, utility invoices, and supplier invoices from vendor portals, perform document completeness checks, and submit them through Vendor Invoice Management (VIM) for approval and posting.
• Review and process employee expense claims and cash advance requests in Concur, ensuring compliance with company travel and expense policies and supporting documentation requirements. Acting as a Concur Admin.
• Review and reconcile corporate credit card transactions, ensure proper expense allocation, and prepare General Journal (GJ) entries for monthly accounting close.
• Record supplier payments, employee reimbursements, and banking transactions accurately in SAP, ensuring proper accounting treatment and financial reporting integrity.
• Perform month-end closing activities, including, Accounts Payable aging reviews, accrual verification, account reconciliations, journal entry preparation, and AP-related reporting.
• Coordinate with business stakeholders, procurement teams, and approvers to resolve invoice exceptions, blocked invoices, and workflow-related issues.
• Review Vendor Statements of Account (SOA), reconcile supplier balances against SAP records, investigate discrepancies, and coordinate resolution with vendors.
• Support annual statutory audits, internal audits, and compliance reviews by providing AP-related schedules, supporting documents, and transaction evidence.
• Ensure adherence to accounting standards, company policies, internal controls, and audit compliance procedures.
• Maintain accurate, complete, and well-organized accounting records and documentation, ensuring proper filing, retention, and retrieval of financial documents in accordance with corporate record management policies.
• Participate in process improvement initiatives, AP automation projects, and system enhancement activities to improve efficiency, control effectiveness, and user experience within SAP, VIM, and Concur environments.
