Our client, TRAX Furniture Sdn Bhd, is seeking a Project Secretary to join their team!
This is a great opportunity for a detail-oriented and technically skilled individual to play a central role in supporting the sales and project teams from tender submission through to project completion. Based in Bangsar, Kuala Lumpur, this role offers exposure to design, planning, cost estimation, and site audit activities, while working closely with the General Manager and cross-functional teams to deliver the best solutions for clients.
What you'll be doing?
- Supporting sales and tender submissions — Assist the sales team on project progress and tender submissions, helping ensure timely and accurate delivery.
- Overseeing design and planning matters — Oversee the design and planning team, taking responsibility for all matters relating to design, mock-ups, and component counts.
- Planning project assignments — Plan and organise the team's project assignments, establishing customer requirements and providing the best possible solutions.
- Identifying technical constraints — Highlight any technical or regulatory constraints that may impact project delivery.
- Providing technical support — Provide strong support to the sales and project team on technical issues as they arise.
- Leading the planning team — Lead the planner and sales support team, guiding their work progress.
- Studying tender documents — Study tender documents, including bills of quantities, tender specifications, and unit pricing, to inform accurate submissions.
- Preparing cost estimations — Tabulate project cost estimations and prepare related tender submission documents.
- Meeting submission deadlines — Provide clear summaries of estimations and ensure tender submission deadlines are consistently met.
- Conducting site audits — Conduct site audits on existing components and communicate churn requirements to customers.
- Preparing presentation materials — Prepare presentation boards and mock-ups to support client presentations.
- Supporting order processing — Assist the sales team with taking off orders.
- Taking on additional responsibilities — Undertake other associated tasks and responsibilities as assigned from time to time.
Who are they looking for?
- Educational background — A Diploma in any field provides a suitable foundation for this role.
- Relevant experience — A minimum of three years of relevant working experience, mainly in tenders, is required for this role.
- Industry background — Experience in design and system furniture will be preferred, bringing valuable context to the role.
- Technical proficiency — A working knowledge of AutoCAD, 3D Max, and Microsoft Excel is required to support design and planning tasks effectively.
- Language proficiency — A good command of English is required to support clear communication with clients and internal teams.
- Attention to detail — A meticulous approach is important to manage accuracy in component counts and project details.
