Job summary

TRAX Furniture Sdn Bhd is seeking a Project Secretary to join their team in Bangsar, Kuala Lumpur. This role supports the sales and project teams from tender submission through to project completion, with exposure to design, planning, cost estimation, and site audits.

You will work closely with the General Manager and cross‑functional teams to deliver optimal client solutions, manage tender documents, prepare cost estimations, and ensure deadlines are met.

Qualifications

• Diploma in any field.
• Minimum 3 years of relevant experience, mainly in tenders.
• Experience in design and system furniture preferred.
• Working knowledge of AutoCAD, 3D Max, and Microsoft Excel.
• Good command of English for client and internal communication.

Responsibilities

• Support sales and tender submissions to ensure timely and accurate delivery.
• Oversee design and planning matters, including design, mock-ups and component counts.
• Plan and organize project assignments based on customer requirements.
• Identify technical or regulatory constraints affecting delivery.
• Provide technical support to sales and project teams as issues arise.
• Lead the planning team and coordinate with sales support.
• Study tender documents to inform accurate submissions and pricing.
• Prepare cost estimations and tender submission documents.
• Ensure tender submission deadlines are met.
• Conduct site audits and communicate churn requirements to customers.
• Prepare presentation boards and mock-ups for client presentations.
• Assist with taking off orders and supporting order processing.
• Undertake other duties as assigned.
