Job summary

Solarvest Holdings Bhd. seeks a Tender Documentation Coordinator to prepare, compile and review tender documents, datasheets, and certifications, coordinating with Legal, Finance and Procurement to gather required information.

You will assist in drafting preliminary solar PV designs (AutoCAD, PVsyst) and ensure timely submissions while maintaining CRM records and tracking the tender pipeline.

Qualifications

• Bachelor's Degree or higher in Electrical Engineering or equivalent.
• Fresh graduates are encouraged to apply.
• Proficiency in MS Office, MS Projects, CRM and ERP systems.
• Ability to manage multiple tasks and priorities without compromising quality.
• Process-oriented with a mindset to improve efficiency.
• Strong verbal and written communication with internal teams and clients.
• Proactive, initiative-taking, and able to work in a fast-paced, target-driven environment.
• Willingness to work on weekends/public holidays if required.
• Valid driving license and ability to travel.

Responsibilities

• Prepare and compile standard supporting documents for tenders (product lists, datasheets, company profiles, certifications).
• Review tender documents to identify requirements, specs, and compliance criteria.
• Collaborate with Legal, Finance and Procurement to gather updated documents and statements.
• Assist in dividing work packages and distributing tasks within the technical team.
• Prepare preliminary design layouts for solar PV systems using AutoCAD or PVsyst.
• Coordinate with internal stakeholders to gather and verify documents.
• Communicate with external vendors/subcontractors for pricing and specs.
• Assist in the final submission process ensuring binding, pagination and timely delivery.
• Maintain CRM system with tender progress and client interactions.
• Support tracking of the tender pipeline and upcoming opportunities.
• Prepare status reports for management on milestones and pipeline updates.
• Coordinate responses to enquiries from clients/consultants outside formal tenders.

Job description

• Prepare and compile standard supporting documents required for tenders, including product lists, technical datasheets, company profiles, and relevant certifications.
• Review and analyze incoming tender documents to identify specific requirements, technical specifications, and compliance criteria.
• Collaborate with stakeholders to understand the overall technical requirements of the project.
• Assist in the division of work packages and distribution of tasks among the internal technical team.
• Assist to prepare preliminary design layouts for solar PV systems (e.g., module layout, single line diagrams) using drafting tools or software (e.g., AutoCAD, PVsyst).
• Coordinate with relevant internal stakeholders (e.g., Legal, Finance, Procurement) to gather and verify updated company documents, financial statements, and etc.
• Help to communicate effectively with external vendors and subcontractors to obtain pricing and technical specifications.
• Assist in the final submission process, helping ensure all documents are bound, paginated, and submitted before the deadline (both physical and electronic).
• Help maintain the CRM system by updating tender progress, client interactions, and records of submitted bids.
• Support tracking of the project tender pipeline to help monitor upcoming opportunities and department targets.
• Assist in preparing status reports for management, covering submission milestones and pipeline updates.
• Help coordinate responses to special project enquiries from clients, consultants, or external parties, even outside formal tenders.
• Assist in gathering technical and commercial information to support preliminary proposals, budget estimates, or feasibility responses.
• Help ensure enquiries are logged, tracked, and followed up within the CRM system

Requirements

• Possess a Bachelor's Degree / Post Graduate Diploma / Professional Degree in Electrical Engineering or equivalent.
• Fresh graduates are encouraged to apply.
• Proficiency in Microsoft Office, Microsoft Project, CRM and ERP System.
• Ability to manage multiple leads and priorities simultaneously without compromising quality.
• Process-oriented and improving processes to maximize efficiency.
• Strong verbal and written communication skills for clear internal updates and professional customer interaction.
• Exceptional communication skills with a proven ability to maintain prompt and professional responsiveness to clients, partners and internal teams.
• A driven individual who takes initiative and thrives in a fast-paced, target-driven environment.
• Comfortable to work on weekends and public holidays if required.
• Possess valid car driving license and able to travel
