Role Overview
We are seeking a Project Coordinator based in Kuala Lumpur, Malaysia to support A&M’s Global Corporate Office Services (COS) team, reporting to the COS Director for India, Asia & Australia. The COS team drives high‑quality office and workplace initiatives. In this role, you will help keep projects moving by building clear plans, driving meeting cadence, tracking actions and deliverables, and maintaining project documentation that supports strong governance and timely decisions.
Key Responsibilities
- Build and maintain project plans by coordinating timelines, milestones, dependencies, and workback schedules across multiple workstreams.
- Run core project routines (kickoffs, stand‑ups, working sessions, steering updates) by preparing agendas, capturing decisions and minutes, and driving action‑item follow‑up.
- Own day‑to‑day project hygiene by maintaining charters, RAID logs, change and decision logs, status reports, and meeting notes in established formats.
- Track deliverables end‑to‑end, follow up with owners to ensure on‑time completion, and proactively surface risks, issues, and dependencies for escalation.
- Produce clear weekly/monthly reporting and dashboards that summarize progress, upcoming milestones, key risks, decisions required, and next steps.
- Coordinate vendors and internal partners as needed (quotes, onboarding, access requests, scheduling, deliverable reviews) to keep work moving efficiently.
- Support basic budget administration (where applicable), including purchase order/request tracking and invoice coordination.
- Maintain shared project sites (e.g., SharePoint/Teams), ensuring artifacts are well‑organized, current, and easy for stakeholders to access.
- Strengthen delivery consistency by improving templates, checklists, and reporting processes; suggest practical enhancements to team ways of working.
Qualifications
- Bachelor’s degree (or equivalent practical experience).
- 2+ years of experience in project coordination, project administration, or operations support within a corporate environment.
- Strong prioritization and organization skills; able to manage multiple workstreams, shifting deadlines, and competing stakeholder needs.
- Excellent written and verbal communication skills; comfortable engaging with stakeholders at multiple levels with professionalism and clarity.
- Proficiency with Microsoft Office (Outlook, Excel, PowerPoint, Word) and comfort working day‑to‑day in Teams and SharePoint.
- Hands‑on experience maintaining project plans, status reports, and logs (RAID, action items, decisions).
- High attention to detail with reliable follow‑through and a strong sense of ownership.
- Some travel required; in‑office attendance in Kuala Lumpur will be required when not traveling.
- Experience supporting workplace, facilities, technology, or business operations projects.
- Familiarity with project tools (Nuvolo Capital Projects, MS Project, Smartsheet, Jira, Asana, Monday.com) and basic dashboarding/reporting.
- Exposure to procurement, purchase order processes, and vendor management.
- Project management training or certification (CAPM, PRINCE2 Foundation) is a plus.
