Job Summary

The Production Sales Coordinator is responsible for coordinating confirmed sales orders throughout the entire production process, from order preparation and artwork confirmation to printing, cutting, sewing, packing and final delivery.

The role requires extremely close daily follow‑up on every order to ensure production progresses smoothly, accurately and according to priority. The Coordinator must proactively arrange production schedules, identify potential delays early, resolve issues promptly and ensure customer orders are completed ahead of the committed delivery date whenever possible.

Key Responsibilities

Review all confirmed sublimation sales orders created daily and enter every order into the general file on the same day, ensuring no confirmed order is overlooked.

Prepare all production order forms, sewing forms and related documents accurately and promptly.

Verify the artwork, product specifications, quantities, sizes, colours, materials, delivery requirements and special instructions before production begins.

Arrange the daily production schedule according to order priority, delivery deadlines and machine capacity.

Arrange the designers' daily template sequence and clearly indicate the sequence number for every job.

Consider courier cut-off times, customer self-collections and all locations delivery schedules when planning production priorities.

Plan production carefully to ensure orders are completed ahead of the promised delivery date whenever possible.

Update the production whiteboard with the latest order status, priorities and outstanding matters every morning.

Follow up closely on every active order and be fully aware of its current stage, person responsible, expected completion time and next required action.

Monitor every order throughout artwork preparation, printing, heat pressing, laser cutting, sewing, quality checking, packing and completion.

Ensure orders move smoothly from one production stage to the next without unnecessary waiting time or missed handovers.

Arrange the production sequence to ensure printers, heat press machines and laser cutting machines operate efficiently and at optimum capacity.

Identify possible delays, missing information, artwork issues, material shortages or production constraints in advance and take immediate corrective action.

Follow up immediately on rejected items, shortages, missing pieces, printing errors, reprints, replacements and other corrective work until fully resolved.

Ensure all order priorities, production instructions, sequence changes, reprints and replacement requirements are properly documented instead of relying only on verbal instructions.

Review all incomplete and outstanding orders before the end of each working day and establish clear follow-up actions.

Coordinate closely with the Sales, Design, Production, Tailoring, Packing and Delivery teams to ensure smooth production and timely order completion.

Confirm that completed orders are accurate, have passed quality checking and are ready for packing, collection, courier dispatch or delivery.

Self-driven, highly motivated and able to work with minimal supervision.

Experience in T-shirt sublimation production or a related apparel industry is preferred.

Committed and responsible in completing tasks and meeting deadlines.

Fast, organised and able to manage multiple orders in a busy environment.

Accountable for assigned duties, with strong follow-up and problem-solving skills.
