SUBSEA WORLDWIDE SOLUTIONS SDN. BHD. is seeking a procurement professional to source offshore and marine equipment, obtain quotations, and manage supplier relations. You will coordinate with project teams on technical specs, track delivery timelines, and ensure compliant procurement processes.
The role involves contract administration, stock coordination, and preparing procurement documentation, with emphasis on cross-functional collaboration and adaptability in a fast-paced project environment.
Sourcing & Procurement — Source and procure offshore and marine equipment and project services in line with project specifications and delivery schedules.
Supplier Quotation & Negotiation — Obtain competitive quotations, evaluate supplier capabilities, and negotiate pricing and delivery terms to achieve the best outcomes for project teams.
Procurement Documentation — Prepare and manage purchase requisitions, purchase orders, and all associated procurement documentation with accuracy and attention to detail.
Cross-Functional Coordination — Work closely with project teams to align on technical specifications and material requirements, ensuring seamless project execution.
Supplier Performance Monitoring — Track supplier performance, delivery schedules, and overall procurement timelines to keep projects on course and flag risks early.
Vendor Management — Maintain and grow the approved vendor list by developing new supplier relationships that strengthen the company's procurement capability.
Compliance & Policy Adherence — Ensure all procurement activities are carried out in accordance with company policies, project requirements, and applicable regulations.
Logistics & Customs Support — Support logistics coordination, shipment tracking, and customs documentation where required, ensuring smooth delivery of materials to site.
Contract Administration — Assist in contract administration and the resolution of supplier claims dispute, verify and ensure the accuracy and acceptance of supplier Delivery Orders (DO) and Invoices.
Project Management - Create and maintain project folders in the shared drive in accordance with the company's document management requirements.
Documentation & Filling - Monitor document completeness, accuracy, and proper filing to ensure records are maintained systematically.
Stock record - Coordinate stock and delivery arrangements, including stock release from suppliers, delivery scheduling, and courier arrangements.
Procurement Reporting — Prepare clear and timely procurement status reports for management and project teams to support informed decision-making.
Educational Background — A Diploma or Degree in Supply Chain, Procurement, Engineering, Business, or a related discipline provides a strong foundation for this role.
Procurement Experience — Between 2 to 5 years of procurement experience is expected, preferably gained within Oil & Gas or any related field.
Negotiation & Vendor Management — Strong negotiation skills and the ability to manage supplier relationships effectively are central to succeeding in this position.
Procurement Process Knowledge — A solid understanding of procurement processes, Incoterms, and contract administration principles is important for day-to-day responsibilities.
Technical Proficiency — Proficiency in Microsoft Office and ERP systems will support efficient management of procurement workflows and documentation.
Communication & Coordination — Good communication skills and the ability to coordinate across teams and stakeholders in a dynamic project environment are highly valued.
