Job summary

Compass Beam Capital is seeking a driven Personal Assistant to support our CEO in both work and personal logistics from Kuala Lumpur, Malaysia. You will help manage the CEO's calendar, travel, communications, and brand-related activities while maintaining strict confidentiality and a proactive, problem-solving approach.

The role requires strong organisational skills, Mandarin proficiency, fluent English, and a proactive mindset.

Job description

We are looking for a driven, detail-oriented Personal Assistant to support our CEO: someone who takes real pride in doing a small but important part exceptionally well, and in freeing his time to focus on what matters most.

You will support him across both work and personal logistics, and gain a front-row seat to how a fast-growing group of companies is run.

Our CEO is an award-winning entrepreneur, leading a group whose companies have each won multiple awards.

The role is demanding: the pace is high, the standards are higher, and you will own your work without being chased.

What you will do
  • Personal support and errands: Book personal appointments, run errands, and handle personal tasks so the CEO's time is freed for priorities.
  • Travel and logistics: Plan and coordinate travel for outstation and overseas trips. You are expected to think critically and a step ahead, handling everything from flights and accommodation to the CEO's preferences on the ground, so each trip runs smoothly.
  • Personal brand support: Because you travel with and work closely alongside the CEO, you will come to know his voice and thinking well. Capture photos and video for his personal brand, work with the brand team to shape content that sounds like him, and handle some of his messages and replies, for example on LinkedIn.
  • Recruitment support: Coordinate and schedule interviews and keep the process organised and on track.
  • Reporting and follow-up: Chase reports from the team on the CEO's behalf and check they are done correctly. Give the CEO a quick, honest read on whether the results are good or bad, so he can respond to the right person quickly.
  • Stakeholder relations: Maintain strong relationships with key stakeholders, including thoughtful gestures such as sending gifts and notes.
  • Confidentiality: Handle sensitive information with discretion and professionalism at all times.
What we are looking for
  • Naturally good organisational skills along with a keen attention to detail.
  • A strong sense of design and presentation: able to prepare and quality-check presentation decks and visual content (photos and video), whether producing it yourself or directing the team.
  • Anticipates needs and solves problems before being asked, and is resourceful enough to find the best way forward without being told.
  • Learns fast and works with minimal supervision, rarely needing the same thing explained twice.
  • Strong time management: juggles multiple priorities and meets deadlines under pressure.
  • Strong, organised note-taking: captures the essentials clearly and writes in a structured way.
  • Takes pride in handling personal and confidential matters with discretion, even in situations you may disagree with or find difficult.
  • Tech-familiar and comfortable with digital tools, social media, and productivity software such as Google Workspace and ChatGPT.
  • Fluent English, spoken and written.
  • Proficiency in Mandarin, spoken and written. This is needed to liaise with our Mandarin-speaking clients and stakeholders; we welcome fluent candidates of any background.
  • Contactable during non-office hours for urgent matters that arise.
  • A valid driving licence and your own reliable transport, with a willingness to travel outstation.
  • Zero to five years of experience. Above all, adaptable and street-smart.
  • Any extra skills or experience in Human Resources, Public Relations, Accounting, Legal, or Business Development would be a plus.
