Job summary

Volvo Malaysia Sdn Bhd is seeking a Parts Operations Assistant to support daily activities in the dealer network, including workshop and counter parts operations. You will help ensure spare parts availability, manage stock, and assist with order processing.

The role requires 3–4 years in inventory/logistics, strong communication, and the ability to work independently as part of a team. ISO 9001/14001 and HSE compliance are part of the responsibilities.

Qualifications

• SPM/STPM/Certificate in related field required.
• Competencies from Volvo leadership framework apply.
• 3–4 years of inventory/logistics experience preferred.

Responsibilities

• Ensure spare part operations meet workshop and retail targets.
• Support parts storage, picking, packing and delivery processes.
• Assist in goods receipt, discrepancy reporting and warehouse organization.
• Maintain accurate records in the Local Dealer System (LDS).
• Contribute to ISO 9001 & ISO 14001 implementation and HSE practices.
• Adhere to Volvo values and company policies.

Job description

Mission / Purpose of the Job

• To assist the senior parts executive in taking care of daily operations of dealers
• To support workshop, counter parts and site support parts operations

Scope and Influence

• Responsible for general control over all activities in Parts Department
• Supporting all parts related matter in the dealer operations – counter sales and workshop use

Key Responsibilities / Accountabilities

• Engage proactively in ensuring the spare part operation meeting given target and expectationin workshop operation as well as retail sales.
• Continuously improve aftermarket offers by adding value on our product
• Support and attend customer in their administration need in aftermarket
• Support the reporting in spare parts sales to the management
• Goods receiving, discrepancy, receive and check arriving parts in the warehouse if foundmissing or damaged parts, fill in discrepancy report or insurance report and report toresponsible for order/planning
• Parts storage assign the received parts to its location in the store if available or arrange fornew parts location
• Parts binning, enter parts received in to the Local Dealer System (LDS)
• Parts Pick Pack and Delivery, in accordance with parts order from sales department, ifinternally deliver to parts receptionist, externally arrange for delivery to receiving customer, bycargo delivery company.
• Maintain and order necessarily packing material in the warehouse
• Maintain and keep warehouse and shelves clean and tidy.
• To participate in ISO 9001 & ISO 14001 implementation throughout the organization and fullcooperation in HSE implementation.
• Adhere to Volvo value, Volvo processes and policies.
• Any other duties assigned by your immediate superior.

• Key inventory KPI (availability, BO recovery, healthy stock rate, turnover)
• Customer satisfaction (CSI) through quality of administration work and service
• Fulfilment of financial and operational KPI’s for Part such as;

• Assembly Quality
• On-time-delivery

Essential Educational and / or Training Qualifications and Certificates

• SPM/ STPM/ Certificate in any related field
• Competencies required, taken from the Volvo group Leadership competencies (seecompetencies below)

Preferred Experience and Knowledge

• GDL to drive company Vehicle
• Minimum of 3 - 4 years of experience in inventory / logistics environment
• Exhibit strong ability in communication and interpersonal skills
• Able to work independently and delivers on time
• Conscientious, integrity and team player qualities are essential
• Good team work
