Mont’Kiara International School (M’KIS) is one of Kuala Lumpur’s most established international schools, located in the vibrant Mont’Kiara community. Job Purpose

To ensure the effective, efficient and smooth day-to-day operation of the school, providing a safe, well-maintained and welcoming environment for students, staff, parents and visitors.

To provide operational and administrative support to the Principal and Senior Leadership Team as required.

To oversee school facilities, maintenance, security, transport, procurement, contractors, events and other operational services.

To ensure that school operations comply with all relevant legal, regulatory, health and safety and organisational requirements.

To manage operational budgets, resources and expenditure effectively, ensuring value for money and appropriate cost control.

To develop, implement and continuously improve operational systems, procedures and processes across the school.

To lead and manage the operations team, ensuring high standards of service, accountability and professional development.

About the Role

School Operations

Oversee the smooth and effective day-to-day operations of the school.

Ensure that operational services are delivered efficiently and to a consistently high standard.

Develop, implement and maintain appropriate operational policies, procedures and SOPs.

Identify operational risks and implement appropriate controls and mitigation measures.

Work closely with the Principal and Senior Leadership Team to identify operational priorities and implement solutions.

Coordinate operational requirements for the start and end of each academic year.

Ensure that school facilities and services support the effective delivery of teaching and learning.

Manage operational communications with staff, parents, students, suppliers and external stakeholders where appropriate.

Oversee the maintenance, cleanliness, security and overall condition of the school premises.

Ensure that classrooms, offices, common areas, sports facilities and other school facilities are properly maintained and fit for purpose.

Coordinate planned and reactive maintenance works.

Manage maintenance schedules and ensure that repairs and maintenance issues are addressed promptly.

Liaise with landlords, contractors, service providers and relevant authorities where required.

Ensure appropriate records are maintained for maintenance, inspections, servicing and statutory requirements.

Identify opportunities to improve the school's facilities, infrastructure and operational efficiency.

Support capital improvement and refurbishment projects as required.

Health, Safety, Security & Compliance

Ensure the school maintains a safe and secure environment for students, staff and visitors.

Ensure compliance with applicable Malaysian legislation, regulations and school requirements relating to health and safety, fire safety, security, building requirements and other operational matters.

Coordinate regular inspections, risk assessments, emergency procedures and safety drills.

Ensure appropriate emergency response procedures are established, communicated and regularly reviewed.

Work with relevant school personnel to investigate incidents and implement corrective actions.

Ensure appropriate safeguarding, security and access-control procedures are maintained.

Maintain accurate records relating to health, safety, security, inspections and compliance.

Support the school's safeguarding culture and ensure operational practices prioritise student welfare.

Oversee the school's procurement and purchasing processes in accordance with approved policies and procedures.

Obtain quotations and negotiate with suppliers and contractors to ensure best value for money.

Manage supplier and contractor relationships and monitor service delivery.

Ensure contracts, service agreements, licences and maintenance arrangements are properly monitored and renewed on time.

Conduct regular reviews of suppliers and service providers.

Ensure procurement decisions are transparent, appropriately authorised and aligned with school requirements.

Identify opportunities for cost savings and operational efficiencies without compromising quality or safety.

Transport & Logistics

Oversee school transport operations and ensure services are safe, reliable and efficient.

Manage relationships with transport providers and monitor service standards.

Ensure appropriate procedures are in place for student transportation, traffic management and school access.

Coordinate logistics for school events, activities, examinations and other major school programs.

Ensure deliveries, storage, movement of equipment and other logistical requirements are managed effectively.

Events & School Activities

Provide operational planning and support for school events, functions and activities.

Coordinate facilities, security, cleaning, transport, catering, equipment and other logistical requirements for events.

Work closely with academic and administrative departments to ensure events are appropriately planned and delivered.

Ensure appropriate risk assessments and safety arrangements are in place for major events.

Review operational arrangements following significant events and identify areas for improvement.

Budget & Resource Management

Manage the Operations Department's approved budget and ensure expenditure is properly controlled.

Monitor operational expenditure and ensure spending remains within approved budgets.

Prepare operational budget proposals and forecasts as required.

Review expenditure and identify opportunities for efficiencies and cost savings.

Ensure all purchasing and expenditure is appropriately authorized.

Manage school resources responsibly and ensure assets and equipment are properly maintained and utilized.

Oversee and manage the workload of operations, facilities and support staff.

Allocate responsibilities and ensure staff understand their roles and performance expectations.

Monitor staff performance and service standards.

Support recruitment, induction and training of operations staff where required.

Identify training and professional development needs and support the professional development of team members.

Promote a positive, collaborative and service-oriented working environment.

Ensure staff comply with school policies, procedures, health and safety requirements and professional standards.

Administration & Reporting

Maintain accurate operational records, schedules, contracts and documentation.

Prepare regular operational reports for the Principal and Senior Leadership Team.

Provide updates on facilities, maintenance, security, procurement, health and safety and other operational matters.

Track operational projects and ensure agreed deadlines are achieved.

Establish appropriate KPIs and service standards for operational functions.

Use operational data and feedback to identify trends, risks and opportunities for improvement.

About You

Qualifications & Training

Relevant degree or professional qualification in Business Administration, Operations Management, Facilities Management or a related discipline.

Relevant professional qualifications or training in Health & Safety, Facilities Management or Operations Management would be an advantage.

Experience & Knowledge

Proven experience in operations, facilities, administration or business management.

Previous experience in a school environment would be an added advantage.

Knowledge of Malaysian regulatory and operational requirements would be an added advantage.
