Bio-Nanosciences (M) Sdn Bhd in Malaysia is seeking an Operations and Warehouse Executive to support order fulfilment, inventory control, warehousing and logistics operations. We are seeking a responsible, organised and detail-oriented Operations and Warehouse Executive to support our order fulfilment, inventory control, warehousing and logistics operations. This role is essential to ensuring that customer orders are processed accurately, stock records remain reliable and products are stored and distributed in compliance with Good Distribution Practice requirements.
Process customer purchase orders and verify stock availability to support accurate and timely order fulfilment.
Prepare and issue invoices, delivery orders and other relevant stock-issuance documents.
Ensure that order, invoice, delivery and stock records are complete and accurately maintained.
Assist with the reconciliation of invoices, delivery documents and stock movements when required.
Pick and pack goods accurately according to the approved order and supporting documents.
Ensure goods are packed securely, sealed properly and labelled with the correct courier waybill and delivery information.
Arrange courier collection and coordinate with logistics service providers.
Monitor shipments from collection until successful delivery.
Follow up on delayed, unsuccessful, missing or damaged shipments and elevate significant issues to the supervisor or management.
Maintain organised shipment and proof-of-delivery records.
Assist with receiving incoming stocks and verify the goods against the relevant delivery documents.
Check the quantity and physical condition of goods received and report any shortage, damage, denting, defects or other irregularities.
Identify suitable storage locations according to product, operational and warehouse requirements.
Arrange and store stocks systematically to support accurate identification, picking and stock rotation.
Support warehouse layout planning to improve space utilisation, workflow, safety and operational efficiency.
Ensure the warehouse is kept clean, tidy, safe and properly organised.
Maintain accurate and up-to-date stock inventory records.
Monitor stock levels and report shortages, discrepancies or other inventory concerns.
Perform weekly physical stock counts and reconcile the results against system records.
Investigate stock discrepancies by cross-referencing and tracing purchase orders, invoices, delivery orders, stock movements, returns and shipment records.
Resolve discrepancies promptly where possible and inform the supervisor or management of any discrepancy that cannot be resolved.
Maintain proper product identification and traceability, including batch and expiry information where applicable.
Support appropriate stock rotation practices, including first-expired, first-out principles where applicable.
Occasionally assist the e-commerce team with order packing and fulfilment during peak periods or when operational support is required.
Assist with issuing invoices for online orders when required.
Liaise with the e-commerce team to investigate and resolve discrepancies between physical stock, system inventory and online stock records.
Perform all warehousing, stock-handling and distribution activities in accordance with the company’s Good Distribution Practice procedures.
Follow established standard operating procedures, safety requirements and documentation controls.
Notify the supervisor or management promptly regarding damaged or defective goods, unresolved discrepancies, shipment problems or other significant operational issues.
Identify and recommend practical improvements to warehouse organisation, inventory accuracy, order processing and delivery efficiency.
Perform other reasonable operational or ad-hoc duties assigned by management.
Minimum diploma in logistics, supply chain management, business administration or a related discipline.
Relevant experience in warehouse operations, logistics, order fulfilment or inventory control is preferred.
Fresh graduates with a responsible attitude and willingness to learn are encouraged to apply.
Proficient in Microsoft Office, particularly Excel and Word.
Familiarity with inventory, invoicing or enterprise resource planning systems is an advantage.
Good numerical accuracy, organisational ability and attention to detail.
Able to investigate discrepancies systematically and maintain accurate documentation.
Able to work independently while collaborating effectively with other departments.
Responsible, proactive and able to manage multiple operational priorities.
Able to perform hands-on warehouse duties, including receiving, organising, picking and packing goods.
Knowledge of Good Distribution Practice or experience in the healthcare, pharmaceutical or health supplement industry is an advantage.
