Job summary

Job Summary

The Operation Supervisor is responsible for overseeing daily courier operations, managing the operation team, ensuring smooth parcel movement, maintaining operational KPIs, and ensuring all staff follow company SOPs.

The supervisor is expected to identify operational problems quickly, manage manpower effectively, and ensure daily targets are achieved.

Key Responsibilities1. Daily Operation Management

• Supervise daily hub/branch operations.
• Ensure smooth parcel receiving, scanning, sorting, bagging, dispatching and delivery processes.
• Monitor incoming and outgoing parcel volume.
• Ensure parcels are processed according to the required timeline.
• Coordinate with drivers, riders, sorters and operation staff.
• Take immediate action when there are operational delays or abnormalities.

2. Manpower Management

• Plan daily manpower according to parcel volume and workload.
• Arrange staff duties, shifts and workstations.
• Monitor staff attendance, punctuality and discipline.
• Reallocate manpower when certain sections are overloaded.
• Coach and guide operation staff to improve productivity.

3. KPI & Performance Monitoring

• Monitor daily operational KPIs.
• Track productivity and performance of the operation team.
• Identify underperforming areas and implement corrective actions.
• Ensure daily operational targets are achieved.
• Prepare and report operational performance to management.

4. SOP & Quality Control

• Ensure all staff follow company SOPs.
• Conduct regular checks on operational processes.
• Minimise parcel mis-sorting, missing parcels, damages and scanning errors.
• Investigate operational mistakes and identify the root cause.
• Implement preventive and corrective actions.

5. Parcel & Delivery Control

• Monitor parcel backlog and ageing parcels.
• Follow up on unsuccessful or problematic deliveries.
• Ensure parcels are dispatched to the correct routes.
• Coordinate with relevant teams regarding delivery issues.
• Escalate serious operational issues to management promptly.
• Lead and supervise the operation team.
• Conduct daily briefings when required.
• Communicate operational targets clearly to staff.
• Handle staff performance and disciplinary issues professionally.
• Build teamwork and maintain a productive working environment.
• Train new operation staff on workflow and SOPs.

7. Reporting & Problem Solving

• Prepare daily/weekly operation reports when required.
• Report manpower shortages, parcel backlogs and operational issues.
• Propose improvements to increase efficiency and reduce operating costs.
• Perform other operational duties assigned by management.

Requirements

• Minimum Diploma / Bachelor's Degree or equivalent.
• Experience in courier, logistics, warehouse or operations is an advantage.
• Good people-management and leadership skills.
• Able to manage a team and handle operational pressure.
• Good problem-solving and decision-making skills.
• Computer literate, especially Microsoft Excel / WPS Office.
• Able to analyse operational data and KPI reports.
• Fast learner and willing to learn new operational processes.
• Good communication and coordination skills.
• Able to work independently and as part of a team.
• Willing to work according to operational requirements.
• Able to travel between branches/hubs when required.

Preferred Candidate

A suitable candidate should be hands-on, responsible, disciplined and strong in people management. The candidate should be comfortable working in a fast-paced courier environment and capable of taking immediate action when operational problems occur.
