Job summary

Apex Logistics International in Bayan Lepas, Malaysia, seeks an experienced operations coordinator to oversee daily air cargo terminal activities. You will ensure efficient cargo handling, timely shipment movement, regulatory compliance, and coordination with ground handling agents, trucking providers, and internal teams.

You will monitor AWBs, cargo manifests, and supporting documents, manage exceptions, and contribute to throughput improvements within a fast-paced environment.

Qualifications

• Knowledge of air cargo procedures, customs regulations and cargo documentation.
• Familiarity with charter operations and terminal handling processes is an advantage.
• Proficiency in Microsoft Office applications (Excel, Word, PowerPoint, Outlook).
• Diploma or Degree in Logistics, Supply Chain Management, Aviation, or related field preferred.
• Relevant experience in air freight, cargo operations, freight forwarding or related field is an advantage.
• Strong coordination, organizational and time management skills.
• Excellent communication and teamwork skills.
• Ability to manage multiple priorities and meet tight deadlines.

Responsibilities

• Oversee outsourced ground handling vendors in daily import, export, transshipment and charter cargo operations.
• Ensure cargo acceptance, storage, build-up, breakdown and dispatch activities are completed accurately and on schedule.
• Monitor cargo movement within the warehouse and terminal to ensure efficiency and service performance.
• Ensure compliance with SOPs and regulatory requirements.
• Coordinate and oversee all charter flight terminal activities and liaise with terminal operators and regulatory authorities.
• Monitor cargo readiness, flight loading plans, ULD availability, and equipment requirements for charter operations.
• Manage real-time operational issues, delays, and exceptions to minimize disruption and maintain service commitments.
• Support pre-flight and post-flight operational reviews for accurate documentation and cargo reconciliation.
• Verify Air Waybills, cargo manifests and supporting shipping documents; maintain accurate records.
• Investigate and resolve shipment discrepancies, delays and damages; coordinate with relevant parties to resolve issues.

Job Summary

To coordinate and oversee daily air cargo terminal operations, ensuring efficient cargo handling, timely shipment movement, regulatory compliance, and effective coordination with ground handling agents, trucking providers, and internal teams while maintaining service quality and operational reliability.

Key Responsibilities

Terminal Operations

• Oversee outsourced ground handling vendors in the execution of daily import, export, transshipment, and charter cargo operations.
• Ensure cargo acceptance, storage, build-up, breakdown, and dispatch activities are completed accurately and on schedule.
• Monitor cargo movement within the warehouse and terminal to ensure operational efficiency and service performance.
• Ensure compliance with company SOPs and regulatory requirements.

Charter Operations

• Coordinate and oversee all charter flight terminal activities, ensuring smooth cargo acceptance, handling, build-up, and dispatch processes.
• Liaise with terminal operators, airline operations teams, ground handling agents, and regulatory authorities to ensure charter movements are executed according to schedule.
• Monitor cargo readiness, flight loading plans, ULD availability, and equipment requirements for charter operations.
• Manage real-time operational issues, delays, and exceptions to minimize disruption and maintain service commitments.
• Support pre-flight and post-flight operational reviews to ensure accurate documentation and cargo reconciliation.

Operational Coordination

• Verify Air Waybills (AWB), cargo manifests, and supporting shipping documents.
• Maintain accurate operational records and documentation.
• Monitor cargo movement and operational activities to ensure timely and accurate shipment handling.
• Investigate and resolve shipment discrepancies, delays, damages, and operational exceptions.
• Coordinate with relevant parties to resolve operational issues and maintain service performance.
• Identify, escalation, and follow up on operational issues to ensure timely resolution.
• Support the implementation of corrective measures and process improvements to enhance operational efficiency.

Other Duties

• Perform any other duties assigned by management from time to time.

Experience & Qualifications
