We are looking for a proactive and detail-oriented Operations Assistant to support our daily operations and sales activities at our Johor office. This role plays a key part in ensuring smooth coordination between customers, suppliers, logistics providers, and internal departments.
The successful candidate will assist in preparing quotations, processing orders, coordinating deliveries, and communicating with local and overseas suppliers. As such, English and Mandarin proficiency is required for effective communication with our overseas-based suppliers.
Prepare accurate and timely quotations for customers.
Assist the Sales Team with quotation preparation, product sourcing, pricing, and supporting documents.
Process customer Purchase Orders (POs) and prepare supplier Purchase Orders.
Source products and obtain quotations from local and overseas suppliers.
Liaise with suppliers from China regarding enquiries, quotations, order confirmations, production status, lead times, and delivery schedules.
Follow up with suppliers to ensure timely delivery of goods.
Coordinate with freight forwarders and logistics providers for local and international shipments.
Track order status and proactively update the Sales Team on delivery schedules and any changes.
Prepare and maintain operational documents, delivery records, shipping documents, and filing systems.
Update and maintain records in the ERP system (AutoCount) accurately.
Work closely with the Sales, Warehouse, Finance, and Project teams to ensure smooth order fulfilment.
Assist in inventory coordination and stock replenishment when required.
Resolve supplier, shipment, or delivery issues promptly and elevate where necessary.
Ensure proper documentation and compliance with company procedures.
Perform any other duties assigned by Management.
Diploma or Bachelor's Degree in Business Administration, Supply Chain Management, Logistics, Operations Management, or a related field.
Fresh graduates are encouraged to apply. Candidates with relevant working experience will have an added advantage.
Able to communicate effectively in Mandarin, English, and Bahasa Malaysia.
English and Mandarin proficiency is required as this role involves liaising with suppliers based in Europe and China.
Strong communication and interpersonal skills.
Good organizational skills with the ability to manage multiple tasks and priorities.
Detail-oriented, responsible, and able to work independently.
Proficient in Microsoft Office (Excel, Word, Outlook).
Experience using ERP systems (e.g. AutoCount) will be an added advantage.
