Job summary

Eaton Group, based in Malaysia, Selangor, is seeking an Operation Analyst to support service and project teams with essential operations administrative tasks. The role involves order processing, scheduling, PR/PO management, warranty coordination, and data maintenance in Salesforce and SAP.

The ideal candidate has 5+ years in administration, SAP proficiency, and strong Excel skills, along with excellent communication and organizational abilities. This is a full-time on-site position in Selangor.

Qualifications

• Advanced diploma or higher is preferred.
• More than 5 years of administrative experience.
• ERP (SAP) proficiency and strong Excel skills are a bonus.

Responsibilities

• Support the service and project team on operations administrative tasks.
• Order processing: fulfillment for service orders from PO receipt to delivery and billing.
• Schedule PM activities and update Service Manager; issue WOs in Salesforce.
• Issue PR for SCM to raise POs and handle spare parts procurement.
• Handle warranty inquiries and verify extended warranty PO with distributors.
• Maintain Salesforce data, dashboards, and service documentation.

What you’ll do:

• This role is resposible for supporting the service & project team on all operations administrative tasks.
• A. Order Process
  • a. Order fulfillment for all service orders-taking care of service order upon PO receipt till delivery, scheduling and billing
  • b. For contract PO- ensure PM servicing/ additional jobs copes is planned and billed according to quotation
  • c. Transfer item to engineer SLOC after they have taken parts or equipments
  • d. Liase with warehouse on inbound and outbound of materials
  • e. Order PPE for service engineer
  • f. Record all service order and ensure all billing completed as planned before month end closing
• B.Scheduling
  • a. Check PM schedule monthly and daily basis
  • b. Update Service Manager on upcoming PM activities based on service contracts
  • c. Issue WO in Sales Force
• C. Issue Purchase Requestion
  • a. Issue PR for SCM to issue PO
  • b. Issuing PR for spare parts purchase under comprehensive maintenance
• D. Warranty
  • a. Handling warranty’s enquiry e.g checking warranty status for Malaysia
  • b.Verifying extended warranty PO and coordinating with distributor to obtain UPS/user information for warranty cert
  • c. Issue warranty certificate
  • d. Update SAP for period of warranty extension UPS
  • e. Process IFAR for engineer
  • f. Assisting to knock off spare parts used in comprehensive maintenance from SAP.
• E. Salesforce Data management
  • a. Maintain, update, and validate service-related records including work orders, customer accounts, and asset information.
  • b. Provide administrative support to Field Service Engineers by ensuring accurate scheduling, resource allocation, and service documentation.
  • c. Generate dashboards and reports to track service performance, engineer productivity, and customer satisfaction.
  • d. Identify opportunities to streamline workflows and improve data accuracy within Salesforce Field Service.
• F. To be committed & responsible for Quality Management System:
  • a. Implement the process approach and risk-based thinking
  • b. Provide the necessary support to fully implement and sustain the QMS
  • c. Communicating to the organization the importance of conforming to QMS requirements
  • d. Ensuring the QMS meets its goals
  • e. Engage, direct, and support individuals contributing to the QMS
  • f. Create a culture of continuous improvement

Qualifications:

• Advance Diploma, Bachelor Degree is a bonus
• More than 5 years working experience as an administrative executive
• ERP (SAP) proficient, Microsoft Office, high proficiency in Excel is a bonus
• Excellent communication, collaboration and organizational skills
