Job summary

Bagan Specialist Centre Sdn. Bhd. is seeking a Medical Affairs Administrative Coordinator to support governance activities, credentialing, and regulatory submissions.

You will liaise with Consultants, Medical Officers and clinical departments, prepare agendas and minutes, and maintain confidential medical records. The role requires a healthcare-related Bachelor’s degree and 2–3 years of hospital experience, with strong English and Bahasa Malaysia, and proficiency in MS Office.

Qualifications

• Bachelor’s Degree in Healthcare Management, Nursing, Allied Health, Biomedical Science, Health Science, Business Administration or related discipline.
• Minimum 2–3 years of relevant hospital or healthcare experience.
• Experience in Medical Affairs, clinical administration, hospital operations or healthcare administration is advantageous.
• Good command of English and Bahasa Malaysia, both written and spoken.
• Strong communication, coordination and interpersonal skills.
• Proficient in Microsoft Office (Word, Excel, PowerPoint).

• Coordinate medical meetings, committees, case reviews and clinical governance activities, including preparation of agenda, minutes and follow-up actions.
• Assist in credentialing and re-credentialing of consultants and medical practitioners.
• Support doctor recruitment and onboarding, including coordination of interviews, documentation and pre-employment requirements.
• Assist in MOH/KKM licensing, regulatory submissions, accreditation and compliance activities.
• Liaise with relevant departments on patient complaints, medico-legal matters and clinical-related issues when required.
• Prepare letters, memos, reports, presentations and other official correspondence related to Medical Affairs.

Job description

Coordinate and provide administrative support for Medical Affairs and clinical governance activities.

Liaise with Consultants, Medical Officers and clinical departments on medical-related matters.

Coordinate medical meetings, committees, case reviews and clinical governance activities, including preparation of agenda, minutes and follow-up actions.

Assist in the coordination and documentation of Morbidity & Mortality (M&M) reviews, clinical case reviews and related follow-up.

Maintain and update Consultant and medical staff records, including credentials, APC, CV, agreements and other required documents.

Assist with credentialing and re-credentialing of consultants and medical practitioners.

Support doctor recruitment and onboarding, including coordination of interviews, documentation and pre-employment requirements.

Assist in MOH/KKM licensing, regulatory submissions, accreditation and compliance activities.

Liaise with relevant departments on patient complaints, medico-legal matters and clinical-related issues when required.

Prepare letters, memos, reports, presentations and other official correspondence related to Medical Affairs.

Maintain proper filing and documentation of Medical Affairs records and ensure confidentiality of medical information.

Support hospital quality, patient safety and clinical improvement initiatives.

Monitor and follow up on action items arising from meetings, reviews and clinical governance activities.

Work closely with Quality, Nursing, Operations and other departments on hospital-wide initiatives.

Perform any other duties assigned by Management from time to time.

Job Requirements:

Bachelor’s Degree in Healthcare Management, Nursing, Allied Health, Biomedical Science, Health Science, Business Administration or a related discipline.

Minimum 2–3 years of relevant experience, preferably in a hospital or healthcare setting.

Candidates with experience in Medical Affairs, clinical administration, hospital operations, medical staff coordination or healthcare administration will have an added advantage.

Good understanding of hospital operations, clinical governance and healthcare regulatory requirements.

Experience in handling medical staff/Consultant documentation, meetings, credentialing or licensing is an advantage.

Good command of English and Bahasa Malaysia, both written and spoken.

Strong communication, coordination and interpersonal skills.

Good organizational and time management skills with strong attention to detail.

Proficient in Microsoft Office, particularly Word, Excel and PowerPoint.

Able to work independently, manage multiple tasks and communicate effectively with consultants and staff at different levels.

Mature, professional, proactive and able to maintain confidentiality.
