Job summary

Vanguard Minerals Sdn Bhd is seeking an organized Operations Support role to assist in tracking KPIs, coordinating between site teams and HQ, and monitoring consumables usage across Malaysia. The position supports compliance, safety, and reporting while maintaining live trackers and facilitating site visits.

The ideal candidate will have a SP M or Diploma in a related field and strong data-analysis and Excel/Sheets skills.

Qualifications

• SPM / Diploma in Business, Engineering, Geology, Operations Management, or related field.
• Basic understanding of mining or heavy industry operations is an advantage.
• Strong coordination, communication, and follow-up skills.
• Able to analyse data, prepare reports, and work with Excel/Google Sheets.
• Willing to travel occasionally to sites within Malaysia (with transport provided).
• Able to work independently and handle multiple projects simultaneously.
• Language: Malay and English; Mandarin will be advantage

Responsibilities

• Assist in tracking production KPIs against targets (tonnage output, recovery rate, downtime %) and flag variances to management.
• Support coordination between site teams and HQ on equipment maintenance schedules and breakdown reporting.
• Assist in monitoring fuel/consumables usage and cost tracking at sites.
• Liaise with authorities on licence renewal follow-ups and submission of required documents.
• Assist in preparing and organizing documents for audits (ESG, safety, environmental compliance).
• Support in monitoring environmental compliance items (water discharge monitoring, rehabilitation progress, EIA conditions).
• Maintain a centralized live tracker for licence/permit expiry dates.
• Assist in monitoring site safety compliance (PPE usage, safety briefings, incident reporting).
• Assist in compiling accident/incident reports and corrective actions.
• Assist in digitalizing site reporting processes and consolidating data for management summaries.
• Conduct spot-checks on manpower attendance and equipment usage; coordinate with external consultants during site visits.

Assist in preparing and organizing documents for internal/external audits (ESG, safety, environmental compliance)

Support in monitoring environmental compliance items — e.g., water discharge monitoring, rehabilitation/reclamation progress, EIA conditions

Maintain a centralized tracking system/dashboard for all licence and permit expiry dates (this could tie into your existing "track licence expiry" point — worth specifying it should be a live tracker, not just ad hoc)

Safety & Risk

Assist in monitoring site safety compliance (PPE usage, safety briefings, incident/near‑miss reporting)

Support in compiling accident/incident reports and follow‑up corrective actions

Reporting & Systems

Assist in digitalizing site reporting processes (e.g., building templates, dashboards, or simple tracking systems for site data)

Consolidate data from multiple sites into management‑ready summaries with visual aids (charts, trend analysis)

Site Visits

Conduct spot‑checks on manpower attendance and equipment usage against submitted reports (verification role, not just review)

Assist in coordinating with external consultants/surveyors during site visits (e.g., stope/pit progress surveys)

Job Requirement
