Job summary

Pivotal Systems (Malaysia) Sdn Bhd is seeking a Logistics Specialist to coordinate inbound and outbound shipments locally and internationally, ensuring smooth cross-border operations.

The role requires a Diploma or Bachelor’s in logistics or related fields and 3–5 years of experience in logistics, with COO processing and ERP (AutoCount) familiarity. Mandarin skills are welcome to communicate with diverse clients and stakeholders.

Qualifications

• Diploma or Bachelor’s degree in logistics, supply chain, or related field.
• 3–5 years in logistics, shipping, warehouse, or supply chain operations.
• Experience with COO processing and international trade documentation preferred.
• Experience in semiconductor, manufacturing, or electronics industry is an advantage.

Responsibilities

• Coordinate inbound and outbound shipments locally and internationally.
• Manage shipping documentation including invoices, packing lists, delivery orders, and customs declarations.
• Liaise with freight forwarders, customs agents, transporters, and warehouse providers.
• Monitor shipment schedules and ensure timely delivery to customers and internal operations.
• Support import/export compliance and ensure adherence to Malaysian customs regulations.
• Track inventory movement and update ERP/system records accurately.
• Work with Purchasing, Production, and Planning teams.
• Investigate and resolve logistics discrepancies, delays, or shipment issues.
• Monitor logistics costs and support continuous improvement initiatives.
• Prepare logistics reports and KPI tracking as required.
• Adhoc tasks/projects as assigned by superior.

Manage shipping documentation including commercial invoices, packing lists, delivery orders, and customs declarations.

Liaise with freight forwarders, customs agents, transporters, and warehouse providers.

Monitor shipment schedules and ensure timely delivery to customers and internal operations.

Support import/export compliance and ensure adherence to Malaysian customs regulations.

Track inventory movement and update ERP/system records accurately.

Work closely with Purchasing, Production, and Planning teams.

Investigate and resolve logistics discrepancies, delays, or shipment issues.

Monitor logistics costs and support continuous improvement initiatives.

Prepare logistics reports and KPI tracking as required.

Other adhoc task/project as assigned by superior from time to time.

Requirements

Diploma or Bachelor's Degree in Logistics, Supply Chain Management, Business Administration, or related field.

Minimum 3-5 years of experience in logistics, shipping, warehouse, or supply chain operations.

Experience in Certificate of Origin (COO) processing and international trade documentation is preferred.

Experience in semiconductor, manufacturing, or electronics industry is an advantage.

Knowledge of import/export procedures and customs documentation.

Familiar with ERP systems (AutoCount) and Microsoft Office applications.

Good communication skills in Bahasa Malaysia and English, Mandarin to effectively communicate with our diverse client base and stakeholders.

Able to work independently in a fast-paced environment.

Detail-oriented with strong problem-solving abilities.
