Responsibilities

• Coordinate inbound orders with brand companies to align on shipping documentation.
• Monitor weekly transit statuses using project44 and carrier tracking systems; reflect ETAs and milestones in JDE.
• Audit Bills of Lading against commercial invoices, validating consignee details and line items; escalate discrepancies.
• Dispatch shipping documentation to 3PL providers and ensure missing documents are resolved before vessel arrival.
• Serve as the operational liaison between brand companies and local 3PL partners to resolve shipment issues.
• Log product quality non-conformances and shipments in LOOP; support root-cause investigations and corrective actions.
• Maintain tracking logs and monthly reports on claim status, progress, and costs.
• Provide cross-functional stock management support for reservations, allocations, and releases.
• Provide contingency coverage during peak periods or disruptions.

Job description

In this role, you will coordinate with our supply planning, customer service, logistic and cross functional department to provide process optimization.

Key Responsibilities and Job-Related Characteristics:

• Purchase & Documentation Alignment: Manage and coordinate inbound orders with respective brand companies to align on international shipping documentation requirements upon receipt of shipping invoices from Supply Planning.
• Shipment Visibility & System Maintenance: Monitor weekly transit statuses utilizing project44 (p44) visibility tools and carrier tracking systems; ensure real-time shipment updates, ETAs, and milestones are accurately reflected in JD Edwards (JDE).
• Bill of Lading (BL) Audit & Discrepancy Management: Perform meticulous audit checks on Bills of Lading against commercial invoices, verifying consignee details, order line items, container seal number and container numbers. Promptly elevate identified discrepancies to brand companies to secure corrective documentation.
• 3PL Document Dispatch & Clearance Pre-requisites: Timely issue complete sets of shipping documentation to third-party logistics (3PL) providers. Proactively follow up with brand companies to ensure all outstanding or missing documents are finalized at least seven (7) days prior to vessel arrival for deep sea shipment, and immediately for short sea shipment from Singapore.
• Cross-Border Operational Liaison: Serve as the primary operational link between brand companies and local 3PL partners to resolve shipment-related operational challenges and clearance bottlenecks.
• Product Quality Claims & End-to-End Investigation: Take ownership of logging product quality non-conformances & shipment in LOOP (Quality Management System) for respective brand companies; lead end-to-end support for root-cause investigations and corrective action plans.
• Quality Tracker & Monthly Reporting: Maintain comprehensive tracking logs detailing claim status, progress, and financial/cost implications; prepare and deliver monthly status reports to line management.
• Cross-Functional Stock Management: Provide operational support to cross-functional departments regarding stock reservation, allocation, and inventory release requests.
• Contingency & Back-up Support: Provide cover and operational backing for team members during peak periods, leave absences, or unexpected supply chain disruptions.
