Private Advertiser is seeking an entry-level HR & Admin candidate in Malaysia to build a career in a cross-border manufacturing/engineering setting. Fresh graduates are encouraged, with on-the-job guidance and opportunities to take on increasing responsibility.
You will communicate with China HQ in Mandarin, coordinate recruitment, onboarding, records, attendance, and payroll support, and assist with permits and visa processes under supervision.
This is an entry-level opportunity for a fresh graduate to build a career in HR & Administration within a cross-border manufacturing/engineering environment. You will work closely with senior HR colleagues and receive on-the-job guidance while progressively taking on more responsibility. The role involves regular communication with China HQ; therefore, Mandarin proficiency is essential.
Key responsibilities
Assist with recruitment activities including job posting, resume screening, and interview scheduling
Support onboarding processes such as preparing employment contracts, personnel files, and orientation materials
Help maintain accurate employee records, attendance tracking, and leave applications
Attend to day-to-day employee inquiries on attendance, leave, and company policies, escalating where needed
Support the organisation of staff engagement activities
Assist in preparing and submitting work permit and visa applications for foreign employees under guidance
Help track the validity of work permits, Employment Passes, and related travel documents
Support liaison with the Immigration Department, MDEC, ESD, and other authorities as guided by senior HR staff
Collect and verify monthly attendance data to support payroll processing
Assist with EPF, SOCSO, EIS, and other statutory submissions under supervision
About you
Bachelor's Degree in Human Resources, Business Administration, Management, or a related field
Fresh graduate or final-year student; no prior working experience required
Proficient in Mandarin, English, and Bahasa Malaysia — Mandarin is essential for communication with China HQ
Competent in Microsoft Office (Word, Excel, PowerPoint)
Detail-oriented, willing to learn, proactive, and able to follow instructions with guidance
Good communication and interpersonal skills; comfortable liaising with colleagues across departments and cultures
Internship experience in HR/Admin an advantage
Basic understanding of the Malaysian Employment Act, EPF, SOCSO, and EIS is a plus
