Job summary

Cohu Malaysia Sdn Bhd is seeking an IT Administration Specialist to manage the day-to-day Microsoft 365 environment including Exchange Online, SharePoint Online, OneDrive, Azure, Power Platform and Copilot, alongside IT procurement and documentation workflows. Responsibilities

  • Administer Microsoft 365 tenant: Exchange Online, SharePoint Online, OneDrive, Teams, Azure AD/Entra ID, Power Platform and Copilot.
  • Manage user accounts, licenses, groups, mailboxes and permissions across cloud services.
  • Configure SharePoint sites, OneDrive libraries, retention policies and sharing settings.
  • Support Power Platform administration and Copilot governance.
  • Create and maintain knowledge articles, SOPs and IT process docs.
  • Process IT hardware/software orders end-to-end and create/track POs.
  • Maintain asset/license records and flag renewals and budget impacts.
  • Monitor M365 service requests and incidents; ensure SLAs are met.
  • Support onboarding/offboarding: provisioning, licenses, mailboxes, device coordination.
  • Collaborate with Global IT, Cyber Security and Procurement; travel as needed.

We are seeking an IT Administration Specialist is responsible for the day-to-day administration of the Microsoft 365 environment — including Exchange Online, SharePoint Online, OneDrive, Azure, Power Platform, and Microsoft 365 Copilot — alongside a strong administrative workload covering knowledge article creation, document handling, IT order processing, and purchase order (PO) creation and approval coordination. The role partners closely with global IT, procurement, and end users to keep cloud services, documentation, and IT procurement workflows running accurately and on time. Success in this role requires strong organizational skills, exceptional attention to detail, and a service-oriented mindset.

Key Responsibilities

Administer the Microsoft 365 tenant, including Exchange Online, SharePoint Online, OneDrive for Business, Microsoft Teams, Azure AD/Entra ID, Power Platform, and Microsoft 365 Copilot.

Manage user accounts, licenses, distribution lists, shared mailboxes, security groups, and permissions across the M365 and Azure environment.

Configure and maintain SharePoint sites, OneDrive provisioning, document libraries, retention policies, and sharing/permission structures.

Support Power Platform administration (Power Automate flows, Power Apps, environments, DLP policies) and Copilot rollout, licensing, and usage governance.

Author, review, and maintain knowledge base articles, standard operating procedures, user guides, and IT process documentation to a consistently high standard.

Handle document control activities — version management, naming conventions, storage structure, and access reviews — across SharePoint and OneDrive repositories.

Process IT hardware and software orders end to end: gather requirements, obtain quotations, validate against standards and budget, and coordinate fulfilment with vendors and logistics.

Create purchase orders (POs) and shepherd them through the approval workflow; track PO status, goods receipt, invoice matching, and vendor follow-up to closure.

Maintain accurate records of assets, licenses, subscriptions, renewals, and vendor contacts; flag upcoming renewals and budget impacts in advance.

Monitor and respond to M365 service requests and incidents in the ticketing system, ensuring SLAs are met and escalating to senior engineers where appropriate.

Support onboarding and offboarding activities, including account provisioning, license assignment, mailbox and OneDrive handling, and equipment coordination.

Partner with the Global IT, Cyber Security, and Procurement teams on audits, access reviews, license true-ups, and continuous improvement initiatives.

Available for occasional travel, if required

Other administrative and cloud-support duties as assigned

Our Ideal Candidate

Diploma or Bachelor’s Degree in IT, Computer Science, Cybersecurity or a related field.

Microsoft 365 Fundamentals (MS-900) and Azure Fundamentals (AZ-900) required; ITIL Foundation, MS-102 (Microsoft 365 Administrator), or equivalent certifications strongly preferred.

Minimum 3 and above years of experience in IT cloud administration and IT operations support, with hands‑on Microsoft 365 administration in a multi‑site environment.

Demonstrated experience with IT procurement processes (orders, POs, approvals) and technical documentation is essential.

Technical Requirements

Strong hands‑on experience administering Microsoft 365: Exchange Online, SharePoint Online, OneDrive, and Teams

Experience with Azure AD / Entra ID (users, groups, licensing, conditional access basics)

Working knowledge of Power Platform administration (Power Automate, Power Apps, environments, DLP)

Familiarity with Microsoft 365 Copilot deployment, licensing, and governance

Experience with service desk ticketing systems (e.g. ServiceNow, Jira Service Management, Freshservice)

Experience with IT procurement / PO workflows in an ERP or procurement system (e.g. SAP, Oracle, Coupa, NetSuite)

PowerShell scripting for M365 administration is a plus

Working knowledge of Active Directory and endpoint/MDM tooling (Intune) is a plus

Skills Required

Exceptional organizational skills and meticulous attention to detail — able to manage many concurrent tickets, orders, and documents without dropping items

Strong written communication skills, with a proven ability to author clear, well‑structured knowledge articles and user‑facing documentation

Strong interpersonal skills; able to communicate effectively in English with technical and non‑technical audiences across global teams

Disciplined, process‑oriented approach to administrative workflows (orders, POs, approvals, renewals, audits)

Customer‑service mindset with strong follow‑through and a sense of ownership

Comfortable working with finance, procurement, and vendor stakeholders; basic familiarity with budgets, quotations, and invoicing.

Ability to work independently with general supervision while collaborating with a globally distributed IT team.

Proactive, hands‑on, and continuous‑improvement oriented.

Ability to handle confidential information with discretion.
