Job summary

Wilhelmsen Ship Management in Kuala Lumpur is hiring an Invoicing Coordinator to join Shared Services. You will ensure accurate invoice production and timely dispatch to customers within the region, aligning with established procedures and KPIs.

Responsibilities include verifying delivery notes, products, quantities, prices and discounts, coordinating with Customer Services on terms, and handling electronic invoicing and print dispatch workflows.

Qualifications

• Proficiency in Business English, written and spoken.
• Strong MS Excel skills: tables, formatting, data tables and shortcuts.
• Good written and spoken English for formal emails.
• Familiar with ERP systems and Office 365.

Responsibilities

• Prepare and dispatch accurate invoices with supporting documents.
• Coordinate with Customer Services on missing terms or prices.
• Match delivery receipts and cylinder invoices as applicable.
• Coordinate electronic invoice dispatch and printing for local teams.
• Serve as first contact for missing invoices and copy invoice requests.
• Escalate invoice dispatch or late delivery issues to Customer Services.
• Follow up complaints through the improvement/complaint system.
