Job summary

DayOne Data Centers Ltd. in Malaysia invites undergrad students to join as a procurement intern.

You will support pre-qualification, vendor registration, filing, and purchase order administration within a fast-growing data-center group. Based in Kuala Lumpur, you will work with procurement and finance teams to ensure accurate records, timely processing, and continuous learning in a dynamic, global tech environment.

Qualifications

• Currently pursuing a Bachelor's Degree in Quantity Surveying, Construction Management, or a related field.
• Basic understanding of procurement and purchasing processes within the construction industry is an advantage.
• Proficient in Microsoft Office applications, particularly Excel and Word.
• Strong organizational and documentation skills.
• Good communication and interpersonal skills.
• Detail-oriented, responsible, and willing to learn.

Responsibilities

• Assist in the vendor pre-qualification and registration process.
• Collect, verify, and maintain vendor documentation and records.
• Coordinate with vendors to obtain required supporting documents and certifications.
• Ensure vendor information is updated and accurately maintained in the procurement database.
• Filing and Document Control: Maintain proper filing systems for procurement-related documents, including quotations, purchase orders, contracts, and vendor records.
• Monitor document versions and maintain accurate records in accordance with company procedures.
• Monitor the status of Purchase Requisitions (PR) submitted by project teams and departments.
• Assist in preparing and generating Purchase Orders (PO) based on approved requisitions and quotations.
• Follow up with internal stakeholders and suppliers to ensure timely processing of procurement activities.
• Maintain accurate records of PR and PO transactions within the procurement system.
• Assist in monitoring contractors’ invoices and payment status.
• Verify supporting documents before payment processing.
• Update payment records and procurement databases accurately and in a timely manner.
• Coordinate with the Finance Department and suppliers regarding payment-related matters when required.

Key Responsibilities

• Pre-Qualification & Vendor Registration
  • Assist in the vendor pre-qualification and registration process.
  • Collect, verify, and maintain vendor documentation and records.
  • Coordinate with vendors to obtain required supporting documents and certifications.

  • Ensure all procurement documents are organized, complete, and easily accessible for reference and audit purposes.
  • Monitor document versions and maintain accurate records in accordance with company procedures.
• Monitoring Purchase Requisitions (PR) & Creation of Purchase Orders (PO)
  • Monitor the status of Purchase Requisitions (PR) submitted by project teams and departments.
  • Assist in preparing and generating Purchase Orders (PO) based on approved requisitions and quotations.
  • Follow up with internal stakeholders and suppliers to ensure timely processing of procurement activities.
  • Maintain accurate records of PR and PO transactions within the procurement system.
• Payment Monitoring and Updating
  • Assist in monitoring contractors’ invoices and payment status.
