Job summary

Jora Malaysia is seeking a dedicated Change Coordinator to manage CAB governance and coordinate change requests with project teams and engineers. The role requires bilingual fluency in English and Mandarin and involves facilitating weekly CAB meetings and clear stakeholder communications.

You will assess change requests, perform impact analyses, and ensure proper documentation in the CAB repository, driving timely decisions and smooth implementation.

Qualifications

• Experience as Change Coordinator or similar in ITSM environments.
• Bilingual in English and Mandarin.
• Experience facilitating CAB meetings.
• Knowledge of CAB governance documentation and processes.

Responsibilities

• Act as Dedicated Change Coordinator and maintain CAB governance documents.
• Facilitate communications among change requestors, project teams, implementors and the CAB.
• Schedule, facilitate, and moderate weekly CAB meetings.
• Assess, categorize, and assign incoming Change Requests using the ITSM tool.
• Ensure timely impact analysis and implementation planning by assigned engineers.
• Present change requests and impact assessments to the CAB for review.
• Track implementation of CAB decisions and address roadblocks.
• Maintain a record of CAB decisions in the designated repository.

Change Coordinator Roles and Responsibilities:

• Performing a role of Dedicated Change Coordinator (Bilingual in English/Mandarin) and develop and maintain Change Advisory Board (CAB) governance documents (process, roles & responsibilities).
• Facilitate communications amongst change requestors, project teams, implementors and the CAB.
• Schedule, facilitate, and moderate weekly CAB meetings.
• Perform assessment, categorization, and assignment of all incoming Change Requests (CRs) using the Client provided ITSM tool
• Ensuring timely and complete impact analysis and implementation planning by assigned engineers.
• Consolidate and present change requests and impact assessments to the CAB for review. Change Request Log and Impact Assessments
• Track the implementation of CAB decisions and address any roadblocks.
• Maintain order and ensure all viewpoints are considered before CAB.
• Document CAB decisions and action items effectively
• Distribute CAB minutes and action items to all stakeholders.
• Maintain a historical record of all CAB activities and decisions in a designated repository identified by CapitaLand.
• Review all RFCs in the Change Technical and Quality Review phase
• Organizes & participates in chairing of CAB meetings.
• Reviews approval responses and moves RFCs to implementation phase.
• Performs PCR of all failed Changes and executes appropriate follow-up actions.
• Coordinate for all the activities in case of Emergency Changes.
• Makes recommendations for Process Improvement activities and (where approved) drives this through to implementation.
• Ensures adherence to the Change Management process
• Clear understanding of SLAs and KPIs associated with Change management
• Customer support towards the change workflow till the RFC closure
• Reporting and analysis skills in ITSM tool and power BI reporting.
