Job summary

SimoSynergy Sdn Bhd in Malaysia is seeking an HR Administrator with a Diploma to join our team and support recruitment, payroll, training, and employee relations.

You will handle onboarding, contracts, leave, attendance, and compliance while coordinating with management and vendors. Fresh graduates are welcome to apply. Proficiency in MS Office and strong communication are essential, with Mandarin liaison to China.

Qualifications

  • Possess at least a Diploma in Human Resource Management, Business Studies / Administration / Management, Psychology, or equivalent.
  • Must be able to speak Mandarin as this position is required to liaise with management from China.
  • Fresh graduates are encouraged to apply for entry-level consideration.
  • Proficient in MS Office (Excel, Word, and PowerPoint).
  • Excellent interpersonal and communication skills.

Responsibilities

  • Manage the full recruitment cycle, including manpower requisition, job advertisements, candidate sourcing, interview coordination, offer preparation, and onboarding.
  • Prepare employment contracts, new hire documentation, and onboarding schedules.
  • Coordinate orientation programmes to ensure a smooth onboarding experience.
  • Monitor employee confirmation and probation review processes.
  • Process monthly payroll accurately and ensure timely completion within the stipulated timeline.
  • Ensure timely submission of statutory payments and compliance with EPF, SOCSO, EIS, PCB, HRDC, and other statutory requirements.
  • Administer employee leave, attendance, overtime, allowances, claims, and other payroll-related matters.
  • Review employee claims to ensure compliance with company policies.
  • Prepare monthly payroll reports for the Management.
  • Administer employee medical and insurance benefits, including policy renewal and claims.
  • Coordinate training needs analysis and annual training plans.
  • Manage HRDC grant applications, claims, and related documentation.
  • Maintain employees' training records and ensure compliance with mandatory training requirements.
  • Evaluate training effectiveness and prepare training reports.
  • Maintain positive employee relations by addressing employee enquiries and providing HR support.
  • Prepare and circulate employee announcements, including birthday wishes and internal communications.
  • Support employee welfare initiatives and engagement programmes.
  • Maintain and update employee personal files and HR records.
  • Prepare HR correspondences, including confirmation, promotion, transfer, salary adjustment, disciplinary, resignation, and other employment-related letters.
  • Ensure compliance with the Company's HR policies, employee handbook, and labour legislation.
  • Administer foreign worker documentation, work permit renewals, FOMEMA, and other employment-related matters where applicable.
  • Maintain HRIS records and ensure data accuracy.
  • Ensure HR documentation complies with company policies, ISO requirements, and statutory regulations.
  • Coordinate internal and external HR audits, including preparation of required documents and records.
  • Monitor compliance with the Employment Act, Industrial Relations Act, Occupational Safety & Health requirements, and other applicable labour laws.
  • Assist in developing, reviewing, and implementing HR policies, procedures, and SOPs.
  • Perform any other HR-related duties and special projects as assigned by Management from time to time.
