Job Summary
We are looking for a hands‑on and forward-thinking Human Resources Executive to support the Group’s recruitment, manpower planning, payroll coordination, employee documentation and performance management.
This role will serve as the key internal coordinator between management, department heads, employees and our outsourced HR service provider.
The successful candidate should understand that HR is not only about administrative work. You will help MiFoods plan the right workforce, hire the right people and build effective HR systems as we expand our brands and open more outlets.
Recruitment & Talent Acquisition
Manage the end‑to‑end recruitment process for corporate, central kitchen and outlet positions.
Work with management and department heads to understand hiring requirements, job scopes and candidate profiles.
Prepare and publish job advertisements across JobStreet, social media, recruitment platforms and other relevant channels.
Screen applications, conduct initial interviews and coordinate interviews with hiring managers.
Conduct reference checks and assist with salary and employment‑term discussions.
Prepare job descriptions, interview assessment forms and candidate evaluation reports.
Develop recruitment pipelines for recurring F&B positions such as outlet managers, chefs, kitchen crew, service crew and other operational roles.
Build relationships with recruitment agencies, colleges, hospitality schools and other potential talent sources.
Maintain an organised candidate database for current and future hiring needs.
Monitor recruitment progress and report on vacancies, candidate pipelines and hiring timelines.
Manpower Planning & Outlet Expansion
Work closely with management and Operations to understand the Group’s outlet‑opening and expansion plans.
Prepare three‑month, six‑month and annual manpower plans for corporate departments, central kitchens and future outlets.
Determine when recruitment should begin based on each outlet’s targeted opening date and required training period.
Prepare headcount plans according to outlet size, position requirements and business needs.
Identify positions that require longer recruitment lead times and begin sourcing candidates in advance.
Track approved headcount, open vacancies, recruitment status and expected joining dates.
Coordinate recruitment campaigns for multiple outlet openings.
Assist management in preparing manpower budgets and estimating recruitment costs.
Alert management early when there is a potential manpower shortage or hiring delay.
Offer Letters & Employee Documentation
Prepare, review and process offer letters, employment contracts and other HR documentation.
Explain key employment terms, company policies and onboarding requirements to successful candidates.
Ensure all employment documents are properly approved, signed, filed and recorded.
Prepare confirmation, promotion, salary adjustment, transfer and contract‑renewal letters.
Assist with warning letters, performance improvement documents, resignation acceptance and termination documentation when required.
Maintain accurate physical and digital employee files.
Ensure employee personal information and company documents are handled confidentially.
Maintain the employee master list and update employment status, salary, position, reporting line and other relevant information.
Monitor probation periods, contract expiry dates, work anniversaries and confirmation deadlines.
Payroll & Attendance Administration
Prepare and verify monthly payroll information before submission to the outsourced HR or payroll provider.
Collect and check attendance, overtime, allowances, claims, unpaid leave, deductions, new joiners and resigned employee information.
Coordinate closely with outlet managers and department heads to ensure payroll information is complete and accurate.
Liaise with the outsourced HR company regarding payroll processing, statutory contributions and employee records.
Review payroll reports and identify possible errors or unusual changes before management approval.
Coordinate with the Finance & Accounts team to ensure approved payroll is processed on time.
Maintain accurate payroll records and supporting documents.
Assist with EPF, SOCSO, EIS, PCB and other applicable statutory administration.
Respond to employee payroll, leave, attendance and benefit enquiries.
Maintain leave, attendance and timekeeping records across the Group.
Prepare monthly headcount and payroll summaries for management.
Performance Management
Develop and coordinate probation, confirmation, quarterly and annual performance‑review processes.
Work with management and department heads to establish clear job responsibilities, KPIs and performance expectations.
Prepare performance appraisal forms, review schedules and supporting guidelines.
Ensure managers complete employee performance reviews fairly, consistently and on time.
Track employee performance, strengths, development areas and agreed action items.
Follow up with managers and employees on underperformance or improvement requirements.
Coordinate and document Performance Improvement Plans when required.
Maintain accurate performance records for confirmation, promotion, salary review, bonus and career‑development discussions.
Assist management in identifying high‑potential employees and future supervisors or managers.
Analyse performance trends and recommend improvements to the Group’s evaluation system.
Onboarding, Offboarding & Employee Relations
Plan and coordinate employee onboarding and orientation.
Ensure new employees receive the necessary documents, policies, tools and information before or on their first day.
Coordinate with department heads to prepare onboarding and job‑training schedules.
Monitor new employees during probation and follow up on their progress.
Conduct exit procedures and collect the necessary documents, company property and feedback.
Support employee engagement, communication and company‑culture initiatives.
Handle general employee enquiries professionally and confidentially.
Assist management in handling grievances, disciplinary matters and workplace concerns.
Promote a positive, respectful, multicultural and performance‑driven working environment.
HR Operations & Outsourced HR Coordination
Serve as MiFoods’ main internal contact for the outsourced HR service provider.
Ensure required documents and employee information are submitted accurately and on time.
Review information and reports prepared by the outsourced provider instead of only forwarding documents.
Follow up on payroll, compliance, documentation and employee‑related matters.
Coordinate with external recruiters, training providers and other HR‑related vendors.
Assist in developing HR policies, SOPs, employee handbooks and standard templates.
Ensure HR practices and documentation are aligned with company policies and applicable Malaysian employment requirements.
Prepare HR reports covering headcount, turnover, recruitment progress, attendance, payroll movement and employee performance.
Perform other HR‑related duties assigned by management.
Requirements
Minimum Diploma or Bachelor’s Degree in Human Resources, Business Administration, Management, Psychology or another related field.
Minimum two years of relevant working experience in Human Resources.
Hands‑on experience in recruitment, payroll administration and employee documentation.
Able to prepare and review offer letters and other employment‑related documents.
Good understanding of payroll components, attendance, overtime, allowances, deductions and statutory contributions.
Familiarity with Malaysian employment practices and basic labour requirements.
Experience working with an outsourced HR or payroll provider will be an added advantage.
Experience in performance appraisal, KPI tracking, probation reviews or Performance Improvement Plans will be an added advantage.
Good working knowledge of Microsoft Excel and other Microsoft Office applications.
Experience using HR, payroll, attendance or recruitment systems will be an added advantage.
Strong planning, organisational and problem‑solving abilities.
Good communication and interpersonal skills.
Responsible, detail‑oriented and able to handle confidential information.
Able to work independently while coordinating with multiple departments.
Proactive and able to anticipate manpower requirements before they become urgent.
