Jora Malaysia is seeking a proactive and organised HR & Administration Executive to support a fast-paced event & advertising agency. You will manage HR operations, payroll, recruitment and day-to-day office administration, ensuring accurate records and smooth processes across the employee lifecycle.

We are looking for a proactive, organised and people-oriented HR & Administration Executive to join our growing event & advertising agency.
This is a hands-on role suited for someone who enjoys working in a fast-paced environment and is comfortable managing everything from recruitment and payroll to employee matters and day-to-day office administration.
Manage day-to-day HR operations and provide support to employees throughout their employment journey.
Maintain accurate employee records, personnel files and HR documentation.
Prepare HR documents including offer, appointment, confirmation, transfer, promotion, employment verification and warning letters.
Manage employee onboarding and offboarding, including resignation and separation documentation.
Administer attendance, leave, overtime, claims and employee records.
Maintain and update HR policies, SOPs and Employee Handbook.
Handle employee enquiries professionally and confidentially.
Assist with performance appraisal, employee development and HR-related projects.
Prepare basic HR reports including headcount, turnover, leave utilisation and manpower updates.
Manage the end-to-end recruitment process, from manpower planning and job advertisements to interviews, offers and onboarding.
Work closely with department heads to understand permanent and project-based manpower requirements.
Post vacancies on platforms such as JobStreet, LinkedIn and other relevant recruitment channels.
Source, screen and shortlist suitable candidates.
Conduct initial interviews and coordinate interviews with hiring managers.
Recruit for various roles across events, creative, account servicing, operations and administration.
Prepare offer letters, employment contracts and freelance/contractor agreements.
Maintain a positive and professional candidate experience throughout the recruitment process.
Manage daily office administration and ensure smooth day-to-day office operations.
Coordinate office supplies, equipment, subscriptions, software licences and service renewals.
Liaise with building management and service providers.
Coordinate office maintenance, facilities and general workplace requirements.
Maintain proper filing of company contracts, licences, insurance policies and administrative documents.
Liaise with relevant external parties including company secretary, accountant/ auditors and authorities where required.
Support preparation and compilation of company documents, tender/RFP submissions and supporting certificates when required.
Maintain proper records of company and employee-related documentation.
Support management with other administrative and ad-hoc assignments.
Prepare and process monthly payroll accurately and on time.
Compile and verify payroll inputs including attendance, overtime, allowances, claims and deductions.
Process statutory contributions and submissions including EPF/KWSP, SOCSO/PERKESO, EIS and PCB.
Liaise with payroll providers, LHDN and relevant authorities when required.
Administer employee benefits, leave entitlements, medical and insurance matters.
Coordinate EA Forms and other annual payroll-related documentation.
Ensure HR and payroll practices are aligned with applicable Malaysian employment requirements.
Plan and coordinate employee engagement activities, celebrations, team-building and company events.
Support internal communications and initiatives that strengthen company culture.
Organise staff welfare activities and employee appreciation initiatives.
Coordinate internal training and employee development programmes.
Gather employee feedback and support initiatives to improve the overall employee experience.
Diploma or Bachelor's Degree in Human Resources, Business Administration, Management or related field.
Preferably 3 years and above of HR & Administration experience.
Basic knowledge of Malaysian HR practices, payroll and employment regulations.
Experience in recruitment, payroll and/or HR systems will be an advantage.
Strong organisational and time-management skills with good attention to detail.
Good communication and interpersonal skills.
Proficient in Microsoft Office, particularly Excel and Word.
Able to handle confidential information professionally.
Proactive, resourceful and willing to learn.
Able to work independently while being a strong team player.
Most importantly, comfortable working in a fast-paced event & advertising agency environment where priorities may change quickly.
You won't be doing just paperwork.
This role gives you hands-on exposure across HR Operations, Recruitment, Payroll, Employee Engagement and Administration, while working closely with different departments and being part of exciting events, campaigns and projects.
