We are looking for an experienced and hands-on HR Executive / Senior HR Executive to join our team. This role will be responsible for the smooth running of daily HR operations, payroll, statutory compliance and employee-related matters.
The ideal candidate should be comfortable working independently, dealing with employees and government authorities, and working closely with HODs and management on HR matters.
Oversee day-to-day HR operations and ensure compliance with applicable Malaysian employment laws and statutory requirements.
Liaise with government authorities on HR-related matters, including queries, audits and inspections when required.
Manage statutory matters involving LHDN, KWSP, PERKESO, ZAKAT and other relevant requirements.
Handle employee registrations, resignations and other required notifications with the relevant authorities.
Prepare annual statutory submissions such as EA Forms, Borang E and other related documents.
Prepare internal HR communications or memos relating to government updates, policy changes and other HR matters.
Keep updated on changes in employment legislation, government requirements and HR practices, and communicate relevant updates internally.
Coordinate and ensure the monthly payroll is processed accurately and on time.
Handle staff claims, allowances, hardship claims and other employee-related payments according to company policies and approval procedures.
Maintain employee benefit records, including medical and insurance coverage.
Process benefit changes and prorated adjustments for new joiners and employees leaving the organization.
Maintain accurate and up-to-date employee information, attendance and leave records in the HR system.
Prepare monthly HR reports and other ad-hoc reports required by management.
Manage employee movement documentation, including confirmation, promotion, transfer, secondment and re-designation.
Ensure proper documentation and timely updates for all employee-related changes.
Support recruitment activities when required, including job postings, candidate sourcing and interviews.
Coordinate onboarding arrangements, documentation and orientation for new employees.
Manage the employee lifecycle from joining through separation.
Coordinate resignation and exit processes, including exit interviews and relevant separation documentation.
Work closely with HODs, Finance, IT, Admin and other departments, as well as relevant government authorities, to ensure a smooth and timely offboarding process.
Handle day-to-day employee relations matters, including grievances, conflicts and disciplinary issues.
Support performance management, employee appraisal and conduct-related matters.
Work closely with HODs and line managers to address employee issues and ensure adherence to company policies and standards.
Participate in Group employee relations activities (ER) and initiatives where required.
Support training and development initiatives to improve employee capabilities.
Review and improve HR processes, SOPs and systems to enhance efficiency and effectiveness.
Diploma or Degree in Human Resources, Business Administration or a related discipline.
Minimum 3 years of relevant HR experience, preferably with strong exposure to HR Operations.
Hands-on experience in payroll and statutory compliance will be highly advantageous.
Good knowledge of Malaysian employment practices and statutory requirements.
Strong communication and interpersonal skills with the ability to work with employees at different levels.
Strong organizational and time management skills, with the ability to priorities multiple tasks and meet tight deadlines.
Able to work effectively in a fast-paced and dynamic environment while maintaining accuracy, particularly when handling payroll and statutory matters.
Detail-oriented, organized and able to manage multiple HR matters within deadlines.
Able to work independently while collaborating effectively with HODs, management and other departments.
