TotalEnergies Group in Kuala Lumpur is seeking an HR Operations Analyst to support HR data accuracy, payroll processes, reporting, and process improvement. This role is a 3-year fixed-term contract aligned with business needs.

You will maintain master data in HRIS/SAP, perform data quality checks, generate headcount and payroll-related reports, and provide insights for decision making. Strong attention to detail and collaboration with HR and finance are essential.

Qualifications

  • Minimum 5 years’ experience in HR operations, payroll, analytics or shared services.
  • Hands-on payroll exposure and knowledge of Malaysian statutory requirements.
  • Experience with HR reporting and KPIs is preferred.
  • Strong knowledge of HRIS data management and data governance.
  • Proficient with Excel and reporting tools; Power BI is an advantage.
  • Understanding of Malaysian employment legislation and PDPA confidentiality.

Responsibilities

  • Maintain accurate employee master data in HRIS / SAP and related records.
  • Perform data quality checks, reconciliations and cleanup for consistency.
  • Prepare recurring and ad-hoc HR reports including headcount and payroll data.
  • Consolidate and analyze HR data to identify trends and insights for management.
  • Support payroll back-up and compliance through audits and documentation.
  • Contribute to process improvement and HR governance initiatives.

Job description

Are you passionate about HR operations, data accuracy, reporting, and process improvement? We are looking for a detail-oriented HR Operations Analyst to support our HR team in delivering efficient HR services, payroll support, workforce analytics, and HR administration. This position will be 3 years fixed term contract.

HR Data, HRIS Master Data Management & Reporting

  • Maintainaccurateemployee master data in HRIS / SAP and related HR records, including employee profiles, employment status, position details, reporting lines, costallocationand movement history, ensuring accuracy and compliance with statutory requirements (EPF, SOCSO, income tax, final pay calculations).
  • Perform regular data quality checks,reconciliationsand clean-up to ensure consistency between HRIS, payroll inputs, employee files, organizationchartsand management reports.
  • Prepare recurring and ad-hoc HR reports including headcount, employee movements, absenteeism, leaveutilization, workforce demographics, payroll-relateddataand other HR KPIs.
  • ConsolidateandanalyzeHR data toidentifytrends, exceptions,risksand improvement opportunities, andprovideclear insights to support P&S and management decision-making.
  • Update andmaintainthe organization chart based on approved changes and inputs from Head of Operations / relevant management stakeholders.

Payroll Back-Up, Compensation & Rewards Support

  • Serve as back-up for end-to-end payroll processing to ensure business continuity, including payroll data consolidation, input validation, payroll checking, statutory inputverificationand coordination with relevant stakeholders.
  • Support payroll controls through reconciliation of employee movements, unpaid leave, overtime / allowances where applicable, benefits deductions, final payinputsand statutory contributions.
  • Assistin salary review exercises, bonus cycles and other reward campaigns through data preparation, validation, eligibility checking, modelling support and tracking of approvals.
  • Support participation in external compensation and benefits benchmarking surveys, including data extraction, validation, submissionpreparationand follow-up clarification.

Statutory Compliance, Contract Stamping & Audit Support

  • Coordinate contract stamping andmaintainevidence of stamping or other statutory documentation as applicable to employment contracts and HR records.
  • Assistin ensuring HR administrative practicescomply withMalaysian statutory requirements, internal policies, delegation of authority, document retentionexpectationsand PDPA confidentiality obligations for all Compensation & Benefit processes.
  • Support internal and external audits by preparing requested HR evidence, performing pre-audit checks, ensuring documentationcompletenessandmaintainingclear audit trails. Track gaps or exceptionsidentifiedthrough HR data checks, audit preparation or process reviews, and supporttimelyremediation with responsible owners.

Process Improvement & General HR Support

  • Contribute to improvement and standardization of HR processes, templates,trackersand dashboards to strengthen efficiency,governanceand employee experience.
  • Support HR digitalization or reporting initiatives, including data preparation, dashboard inputs and process documentation whererequired.
  • Undertake other HR operations, rewards, reporting,complianceor administrative assignments.
  • Undertake additional assignments or ad-hoc tasks as required.
What We're Looking For:
  • Minimum 5 years’ experience in immigration, work permits, and in HR operations, payroll administration, HR analytics, HRIS data management, compensationsupportor related HR shared services role.
  • Hands-on exposure to payroll processes and Malaysian statutory requirements such as EPF, SOCSO, EIS, PCB / income tax and employment documentation is preferred.
  • Experience supporting salary review, bonus cycle, external compensation benchmarkingsurveyor HR reporting activities will be an advantage.
  • Good working knowledge of HR SAP module, MicrosoftExceland reporting tools; exposure to Power BI or dashboarding is an advantage.
  • Understanding of Malaysian employment legislation, PDPA confidentiality expectations and HR audit / document control requirements.
  • Strong analytical skills, high attention to detail, discretion in handling confidential information and ability to follow through with stakeholders.
  • Clear written and verbal communication skills, with ability to prepareaccurateemployee letters and management reports.
  • Ability to work independently, prioritize multiple deadlines and support both routine operations and ad-hoc HR projects.
