Job Overview
We are looking for a responsible and detail-oriented HR & Admin Executive to support our HR and administrative operations in Malaysia.
This role will be responsible for end-to-end recruitment, HR administration, foreign worker management and employment compliance, with a strong focus on ensuring that the company's workforce is managed efficiently and in compliance with Malaysian regulations.
The ideal candidate should have hands-on experience in Foreign Worker recruitment and work permit processes, as well as experience working in the F&B industry.
Key Responsibilities
1. Recruitment & Talent Acquisition
Manage end-to-end recruitment for local employees, including job posting, sourcing, screening, interviews, selection and onboarding.
Coordinate recruitment and onboarding activities to ensure smooth manpower deployment.
Manage end-to-end Foreign Worker recruitment processes, including:
JTKSM approval and follow-up
VDR application and visa arrangements
FOMEMA medical examination
PLKS work permit application and renewal
Accommodation arrangements
Employment documentation and contract management
Repatriation / departure arrangements upon completion of employment
2. HR & Administration
Prepare and manage employment contracts, HR documents and employee records.
Manage employee attendance, leave, onboarding and offboarding processes.
Maintain accurate and up-to-date employee records and HR databases.
Assist with monthly payroll preparation and statutory contributions, including EPF, SOCSO and EIS.
Assist with PCB / monthly tax deduction matters.
Handle general office administration and coordinate with relevant government departments and external agencies.
3. HR Compliance
Ensure HR policies and employment practices comply with applicable Malaysian employment laws and regulations.
Keep updated on changes in Employment Act 1955, immigration and foreign worker policies, EPF, SOCSO, EIS and other relevant regulations.
Conduct regular checks on foreign worker documentation and employment compliance.
Coordinate and assist with government inspections, audits and official inquiries when required.
Requirements
2–3 years of relevant HR & Administration experience.
Hands-on experience in Foreign Worker recruitment and management is required.
Familiar with FWCMS, JTKSM, VDR, FOMEMA, PLKS, Levy and foreign worker insurance processes.
Experience in the F&B / restaurant / retail industry is preferred.
Good understanding of Malaysian employment regulations, including Employment Act 1955, EPF, SOCSO, EIS and PCB.
Fluent Chinese & English; able to communicate effectively with Chinese-speaking management.
Good communication, coordination and problem-solving skills.
Detail-oriented, organised and able to manage multiple tasks independently.
Candidates must be legally authorised to work in Malaysia (Malaysian citizen, Permanent Resident or valid work permit holder).
Experience working with Chinese / China-based companies or restaurant chains will be an added advantage.
