ROCKS FOODS SDN. BHD. in Kuala Lumpur is seeking a proactive HR Executive (Contract) to support daily HR operations, especially recruitment, onboarding, and HR administration for our growing outlet network.
The successful candidate will manage end-to-end recruitment, handle onboarding documentación, maintain records, and liaise with internal teams and external agencies in a fast-paced F&B environment.

WHAT YOU WILL BE DOING HERE
We are looking for a proactive, organized, and service oriented HR Executive (Contract) to support the Company's day-to-day human resource operations.
This role will primarily focus on recruitment, employee onboarding, HR administration, employee records management, and coordination with internal stakeholders and external recruitment agencies. The successful candidate will play an important role in supporting our growing outlet operations and ensuring that HR processes are carried out accurately and efficiently.
We are looking for someone who is self-driven, resourceful, detail oriented, and able to take ownership of assigned tasks while working in a fast-paced environment.
KEY RESPONSIBILITIES
1) Recruitment & Manpower Planning
Manage end-to-end recruitment activities for outlet and operational positions based on the Company's manpower requirements.
Prepare and publish job advertisements through job portals, social media platforms, and other recruitment channels.
Source, screen, and conduct initial interviews with potential candidates.
Coordinate interviews between candidates and hiring managers and follow up on interview outcomes.
Liaise with recruitment agencies and other external service providers to support the Company's hiring requirements.
Maintain and update recruitment trackers, candidate databases, and hiring status reports.
Monitor new joiners' reporting dates and coordinate with relevant stakeholders to ensure smooth onboarding.
2) Employee Onboarding & Offboarding
Coordinate and manage the onboarding process for new employees.
Prepare offer letters, employment contracts, and other relevant employment documentation.
Collect and verify required onboarding documents, including identification documents, bank account details, food handling certificates, typhoid vaccination certificates, and other relevant documents.
Coordinate with hiring managers and outlet teams to ensure all necessary arrangements are made before the employee's first day.
Create and update employee profiles in the relevant HR systems and internal employee trackers.
Coordinate system access, including attendance and clock-in/clock-out access, for new employees.
Support employee resignation and offboarding processes, including the collection and filing of relevant documentation.
3) Employee Records & HR Administration
Maintain accurate, complete, and up-to-date employee records in accordance with Company policies and statutory requirements.
Ensure the confidentiality and proper handling of employee information and personal data.
Regularly review and update employee information in the HR system and internal staff trackers.
Maintain records for new joiners, employee movements, resignations, and other employment-related changes.
Ensure employee records and documentation are properly filed and easily accessible when required.
Support the administration and coordination of employee benefits and relevant HR-related systems.
4) Employee Relations & HR Support
Serve as a point of contact for employee inquiries relating to HR policies, employment matters, onboarding, and other HR-related issues.
Provide timely and professional support in addressing employee concerns and queries.
Support the implementation and communication of Company policies and procedures.
Assist with employee engagement activities, staff communications, meetings, and other HR initiatives.
Escalate complex employee relations or disciplinary matters to the relevant HR Manager or Management when required.
5) HR Compliance & Documentation
Ensure HR documentation and processes comply with internal policies and applicable employment regulations.
Monitor the validity and completeness of employee-related documents and certifications where applicable.
Assist in maintaining HR policies, procedures, and employee documentation.
Support the preparation of documents required for internal reviews, audits, and regulatory purposes.
Ensure HR-related documentation is submitted and maintained according to the required timeline.
6) HR Reporting & Coordination
Prepare and maintain regular HR reports, including recruitment status, manpower updates, new joiner reports, and employee movement reports.
Monitor recruitment progress and provide regular updates to Management and relevant stakeholders.
Assist in analyzing manpower and HR-related data to identify trends and operational requirements.
Coordinate closely with outlet operations, hiring managers, and other internal departments to ensure smooth communication and execution of HR activities.
Perform other HR and administrative duties as assigned by Management.

WHAT YOU NEED TO HAVE
Bachelor's Degree or Diploma in Human Resources, Business Administration, or a related field.
At least 1–3 years of working experience in Human Resources, Recruitment, or a related field.
Experience in the F&B, QSR, retail, or multi-outlet industry will be an added advantage.
Experience in recruitment, employee onboarding, and HR administration is preferred.
Familiarity with HR systems and attendance management systems will be an advantage.
Strong organizational, coordination, and time-management skills.
Good attention to detail and ability to manage multiple tasks simultaneously.
Strong interpersonal and communication skills.
Ability to handle confidential information with professionalism and discretion.
Proficient in Microsoft Office applications, particularly Excel and Word.
Self-driven, accountable, and results oriented.
Resourceful, proactive, and able to work independently.
Adaptable and comfortable working in a fast-paced environment.
Strong communication skills in Bahasa Malaysia and English.
Possess own transport and be willing to travel when required.
Available to work on a contract basis.
