Job summary

Alfa Laval Mid Europe GmbH in Malaysia is seeking a Service Coordinator for a 5-month maternity cover contract. The role coordinates customer orders, service engineer schedules, quotations, and admin processes to ensure timely and efficient field service delivery.

You will collaborate with Service Engineers, Team Managers, Service Sales, and customers to plan and execute activities, maintaining records and supporting complex quotations.

Qualifications

• Diploma or equivalent qualification in Business Administration, Engineering, or a related discipline.
• Experience in service coordination, administration, order management, scheduling, or a similar role is an advantage.
• Good command of English, both written and spoken.
• Good working knowledge of Microsoft Office, particularly Excel and Outlook.
• Strong organisational and time-management skills, with the ability to manage multiple priorities.
• Good communication and coordination skills, with the ability to work effectively with different stakeholders.
• Detail-oriented, proactive, and comfortable working in a fast-paced environment.
• Able to work independently while collaborating closely with a wider team.

Responsibilities

• Place and process customer purchase orders in the relevant systems, ensuring accurate and timely order administration.
• Plan and manage the daily work schedules of Service Engineers, ensuring resources are effectively allocated.
• Monitor service reports and coordinate engineers' follow-up actions and leads to ensure timely closure.
• Prioritise and coordinate service jobs in close collaboration with Team Managers to ensure work is executed according to business and customer requirements.
• Support the preparation and processing of complex or non-standard quotations for Field Service activities, contributing to service and divisional targets.
• Monitor and maintain the service order backlog, ensuring timely follow-up and resolution of outstanding items.
• Follow up on credit queries and coordinate with relevant stakeholders to ensure timely resolution.
• Administer Performance Agreements in close collaboration with the Service Sales team.
• Monitor and maintain records related to special tools, certifications, vaccinations, and other requirements necessary for Service Engineers to perform their work.
• Provide general coordination and administrative support to ensure smooth day-to-day service operations.
