A leading recruitment agency is seeking a candidate for Grant Documentation Management in Kuala Lumpur. This role involves coordinating the preparation and approval of grant documentation, managing scholarship applications, and liaising with educational institutions. The ideal candidate must be a local Malaysian and possess strong organizational skills to maintain documentation and ensure compliance with funding requirements.

Responsibilities

  • Ensure completion of Grant Documentation.
  • Prepare necessary documents for grants and seek required approvals.
  • Coordinate with Accounts Department for funding updates.
  • Maintain records and track reporting timelines.
Job description
Grant Documentation Management

Ensure that the Grant Documentation is complete.

Prepare Grant Documentation justifying the grant to the beneficiary and seek approval from the Foundation’s Awards Executive Committee.

Prepare the necessary documents such as the Grant Payment Request, Reporting Schedule and Contract for the said grant.

Circulate the accompanying documents for signatories and approvals.

Informs the Accounts Department about the required funding.

Prepares the Grant Letter to beneficiaries for the signature of the General Manager.

Coordinates and ensures that all documentation to be signed by the beneficiary has been approved, accepted and coordinates with the Accounts Department on the preparation of the cheque and despatch, cheque to the beneficiary.

Update the status record on grants so that everyone involved is notified.

Keep track of reporting timelines and ensure that the required reports are received on time.

Coordinate, prepare, and send a reminder letter to the beneficiary when the report is due.

Collate and compile the completed reports and send them to the attending Foundation’s Executive for his action.

Filing of Grant and related documents.

Highlight any irregularities encountered in relation to grant issues.

Any other activities related to Grant Processing or any other assignments given from time to time.

2. OVERSEE THE MANAGEMENT OF AN ASSIGNED SCHOOL SCHOLARSHIP

To coordinate with Chinese Independent Secondary Schools (CISS) to request CISS students studying in CISS to apply for an assigned scholarship.

3. OVERSEE THE MANAGEMENT OF FINE & PERFORMING ARTS GRANT

To coordinate with Fine & Performing Arts Schools or an Institution and to manage the grant distribution.

4. OTHER MATTERS

All other ad-hoc responsibilities as decided by the General Manager.
