Life Synergy Medical Foundation (LSMF) seeks a Foundation Executive to oversee administration, governance, and donor engagement in Kuala Lumpur. You will coordinate board activities, ensure tax-exempt documentation compliance, and manage patient welfare programs with sensitivity and discretion.

Life Synergy Medical Foundation (LSMF) is a registered non-profit, charitable organisation dedicated to supporting low-income patients and underprivileged individuals facing medical, financial, and social challenges. LSMF is the charitable arm of The Life Care International Medical Group of Companies, with a primary focus on renal patient welfare through Caring Synergy Renal Sdn Bhd, which serves 430 haemodialysis patients across 7 dialysis centres in Peninsular Malaysia.
LSMF operates under strict governance requirements, including compliance with LHDN tax-exempt status obligations, AML/CFT donation tracking, and the Trustees Incorporation Act 1952.
Manage daily administrative operations including documentation, filing, correspondence, and records management
Maintain statutory governance records: Trust Deed, Board resolutions, circular resolutions, registers, and approved policies
Coordinate Board of Trustees meetings: prepare and circulate notices, agendas, and board papers; attend meetings and produce accurate minutes; monitor and follow up on action items
Support LHDN compliance including preparation of tax-exempt receipts, annual documentation submissions, and regulatory correspondence
Maintain AML/CFT-compliant donation records and databases in line with LSMF internal policy and applicable law
Liaise with auditors, accountants, and banks; assist in preparation of annual reports and audit documentation
Receive, process, and track Patient Welfare Assistance applications and supporting documents
Coordinate with dialysis centre teams (Caring Synergy Renal) and LifeCare Clinics to assess and verify sponsorship applications
Maintain patient disbursement records with strict confidentiality and data protection standards
Support the Welfare Selection Committee with documentation and case preparation for review
Monitor programme outcomes and compile reports on impact and beneficiary data
Build and maintain relationships with individual donors, corporate partners, CSR committees, and institutional funders
Proactively identify, approach, and convert fundraising opportunities including corporate sponsorships, zakat/wakaf-eligible programmes, grants, and community campaigns
Represent LSMF at external events, corporate briefings, roadshows, and community initiatives as the Foundation's partnership representative
Prepare and present sponsorship proposals, partnership decks, and funding requests tailored to corporate and institutional audiences
Issue timely donation acknowledgement letters and LHDN-compliant official tax-exempt receipts
Track and report on fundraising pipeline, partnership conversion rates, and donation outcomes to the Chairman on a regular basis
Steward existing donor and partner relationships through regular updates, impact reports, and meaningful engagement touchpoints
Manage LSMF social media platforms, website content, and marketing materials in alignment with Foundation branding
Coordinate logistics and documentation for health talks, outreach programmes, and community events
Draft and distribute stakeholder communications including donor updates, event invitations, and programme reports
Support the Chairman and Board of Trustees with presentations, reports, and correspondence as required
Diploma or Bachelor's Degree in Business Administration, Marketing, Communications, Social Work, or a related field
Minimum 2 years of experience in administration, fundraising, non-profit management, or a related role
Prior experience in a charitable foundation, NGO, or regulated organisation is strongly preferred
Familiarity with LHDN tax-exempt donation compliance and AML/CFT documentation requirements is an advantage
Strong written and verbal communication in English; proficiency in Bahasa Malaysia; Mandarin is an advantage
Confident and professional in external-facing donor and partner engagement
Meticulous in documentation, governance records, and compliance administration
Proficient in Microsoft Office (Word, Excel, PowerPoint); experience with CRM or donor management tools is an advantage
Able to manage multiple concurrent workstreams independently with minimal supervision
Willing to travel for outreach, donor meetings, and events
