Responsibilities

  • Execute end-to-end procurement processes including sourcing, RFQ, evaluation, and PO issuance.
  • Ensure procurement activities meet timeline and budget.
  • Coordinate with end-users to fulfill purchasing requirements.
  • Source, evaluate, and recommend suppliers per company policies.
  • Maintain and update the approved supplier database.
  • Monitor supplier performance on quality, delivery, and service.
  • PO administration: prepare and issue accurate Purchase Orders (PO) in accordance with the approval matrix.
  • Monitor PO status and follow up on deliveries.
  • Resolve pricing, quantity, or specification discrepancies.
  • Inventory & stock control: assist in stock-taking activities and monitor stock levels.
  • Coordinate between purchasing and students for uniform measurement activities.

Job description

  • Execute end-to-end procurement processes including sourcing, request for quotation (RFQ), evaluation, and purchase order issuance
  • Ensure all procurement activities are completed within the required timeline and budget
  • Coordinate with end-users to understand and fulfill purchasing requirements
  • Source, evaluate, and recommend suppliers in accordance with company policies
  • Maintain and update the approved supplier database
  • Monitor supplier performance in terms of quality, delivery, and service

Cost Management & Negotiation

  • Negotiate pricing, terms, and contractual agreements with suppliers
  • Identify opportunities for cost savings and value improvement
  • Conduct market analysis to benchmark pricing and supplier competitiveness

Compliance & Governance

  • Ensure all procurement activities comply with internal policies, procedures, and regulatory requirements
  • Uphold integrity by preventing unethical practices including fraud, bribery, and conflict of interest
  • Maintain proper documentation and audit trails for all procurement transactions

Purchase Order Administration

  • Prepare and issue accurate Purchase Orders (PO) in accordance with the approval matrix
  • Monitor PO status and follow up on deliveries to ensure timely fulfillment
  • Resolve discrepancies related to pricing, quantity, or specifications

Inventory & Stock Control

  • Assistin stock-taking activities asrequired.
  • Monitor stock levels daily, especially fast-moving items, and alert the Purchasing Executive

beforestockoutsoccur.

  • Support the coordination between purchasing andstudents for uniform measurement activities.

Job Requirement:

Education

  • Diploma in Business Administration, or a related field

Experience

  • Minimum 2years of relevant experience in procurement or purchasing
