Job summary

Shangri-La Kuala Lumpur is seeking a proactive Convention Sales Coordinator to support all convention sales activities, handle daily administrative duties, and maintain filing and documentation systems. You will prepare proposals, manage client communications, and track event lead performance while contributing to revenue planning and market insights.

The role requires 1+ year in hotel sales or events support, strong English communication, and proficiency with MS Office and hotel systems.

Qualifications

  • Diploma or Degree in Hotel Management, Hospitality, Business Administration, Marketing, or a related field.
  • Minimum 1 year of experience in hotel sales, events, hospitality, or administrative roles.
  • Experience in MICE, convention sales, events coordination, or hotel sales support is an advantage.
  • Strong administrative and organizational skills.
  • Excellent verbal and written communication skills in English.
  • Strong interpersonal and stakeholder management skills.
  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Familiarity with hotel systems such as OPMS and Delphi is an advantage.
  • Able to handle multiple tasks and prioritize effectively.
  • Strong attention to detail and accuracy in documentation.
  • Good analytical and reporting skills.
  • Able to work independently and collaboratively within a team.

Responsibilities

  • Coordinate and support all convention sales activities to achieve business objectives.
  • Handle daily administrative duties for the Convention Sales team.
  • Manage and maintain filing, tracing, and documentation systems.
  • Prepare, issue, and coordinate proposals, contracts, and related sales documents.
  • Handle emails, correspondence, inquiries, and client communications.
  • Maintain and update event proposals, contracts, menu packages, and MICE-related documentation.
  • Track confirmed groups and monitor event lead conversion performance.
  • Prepare and submit sales, revenue, and business performance reports.
  • Monitor business production and identify upselling opportunities.
  • Assist in arranging hotel site inspections, client visits, and familiarization trips.
  • Conduct site inspections and entertain clients when required.
  • Develop and maintain client databases and account records.
  • Research market trends, competitor activities, products, and pricing strategies.
  • Maintain updated information on exhibitions, conventions, and citywide events.
  • Support monthly forecasting and revenue planning through financial reporting.
  • Coordinate sales-related information with internal departments.
  • Build and maintain strong relationships with clients, sales offices, and business partners.
  • Promote and cross-sell hotel products and services.
  • Attend group review meetings and support business performance discussions.
  • Maintain confidentiality of client and business information.
  • Ensure effective communication and teamwork across departments.
  • Perform ad hoc duties and special projects assigned by management.
