The Event Coordinator is responsible for planning, organizing, and executing company events from concept to completion. This role ensures events run smoothly, meet objectives, stay within budget, and reflect the organization’s standards and brand image.
Responsibilities
- Plan and coordinate events such as corporate functions, meetings, conferences, exhibitions, training sessions, and social events.
- Develop event timelines, schedules, and detailed action plans.
- Coordinate event logistics including venue selection, layout, equipment, transportation, and accommodation.
- Liaise with vendors, suppliers, caterers, decorators, and service providers.
- Negotiate contracts and manage vendor deliverables.
- Coordinate with internal departments and external stakeholders to ensure event requirements are met.
- Prepare event budgets and monitor expenses to ensure cost control.
- Process purchase requests, invoices, and payments related to events.
- Maintain accurate event documentation and records.
- Oversee on‑site event setup, operations, and teardown.
- Ensure compliance with safety, company policies, and event guidelines.
- Handle last‑minute changes, issues, or emergencies professionally.
- Assist with event promotion, invitations, and participant registration.
- Coordinate event materials such as banners, brochures, presentations, and giveaways.
- Support post‑event communication and feedback collection.
- Conduct post‑event evaluations and prepare reports.

Requirements
- Diploma or Bachelor’s degree in Event Management, Marketing, Hospitality, or a related field.
