Role Purpose
The Event Executive is responsible for supporting the planning, coordination, and execution of brand events and activations that drive consumer engagement, retail traffic, and brand awareness. The role ensures smooth delivery of events from planning to post‑event evaluation, working closely with internal marketing teams, retail partners, and external vendors to deliver high‑quality brand experiences in line with global brand standards.
Key Responsibilities
- 1. Event Planning & Execution
- Support the planning and execution of brand events, product launches, retail activations, and consumer engagement activities.
- Assist in developing event timelines, run‑downs, floor plans, and operational checklists.
- Coordinate all event logistics including venue setup, equipment, manpower, materials, and guest arrangements.
- Ensure events are executed smoothly, on time, and aligned with brand guidelines and objectives.
- 2. Vendor & Supplier Coordination
- Liaise with vendors, agencies, contractors, and production teams for quotations, briefing, and execution follow‑up.
- Ensure all deliverables meet quality standards, timelines, and budget requirements.
- Support procurement processes including sourcing, comparing quotations, and coordinating approvals.
- Maintain strong working relationships with external partners to ensure efficient execution.
- 3. On‑Ground Event Management
- Provide on‑site support during events, ensuring seamless execution and guest experience.
- Manage event setup, registration, crowd flow, product displays, and overall event operations.
- Troubleshoot operational issues during events and ensure quick resolution.
- Coordinate with retail teams and brand ambassadors during activations.
- 4. Marketing & Brand Support
- Support integration of event activities within broader marketing campaigns and retail calendars.
- Assist in preparing event communication materials such as invitations, signage, and event collateral.
- Ensure consistent brand presentation and premium experience across all touchpoints.
- 5. Reporting & Administration
- Assist in post‑event reporting including event performance, attendance, and key insights.
- Maintain proper documentation of budgets, invoices, purchase orders, and vendor records.
- Support administrative tasks related to event planning and execution.
Qualifications and Experience
- Diploma or Degree in Marketing, Event Management, Mass Communication, Business, or related field.
- 1–3 years of experience in events, experiential marketing, PR, or retail activations.
- Experience within the luxury, lifestyle brands, electronics, premium consumer brand, and retail industry is an advantage.
- Strong organisational and coordination skills with attention to detail.
- Ability to multitask and work in a fast‑paced environment.
