Job summary

Baxter International in Malaysia invites a Customer Service Coordinator to support commercial, supply chain and Technical Service operations. You will handle quotations, orders, invoicing, and service contract maintenance within ERP and JDE to ensure smooth business flow.

The role requires collaboration with multiple teams to maintain service levels, process requests efficiently, and manage daily duties with accuracy and independence.

Qualifications

• Minimum 2 years of relevant experience.
• Customer-oriented with strong communication skills.
• Proficient in Microsoft Office.
• Familiar with ERP systems, preferably JDE.
• Able to work independently with limited guidance.

Responsibilities

• Handle incoming customer queries.
• Prepare quotations for spare parts and service contracts.
• Process service invoicing and document filing based on quotations, POs and service contracts.
• Manage indirect purchase requisitions and create POs.
• Maintain and monitor service agreements in the delivery system and ERP.
• Coordinate with supply chain on parts availability and delivery dates.
• Manage system transactions for spare parts (PO, SO, DO, GR, movement).
• Support hardware tracking end-to-end in JDE.
• Assist Finance with accounts receivable and overdue invoices.
• Process warranty claims within 2–5 working days.

Your Role at Baxter

The Customer Service Coordinator is responsible for supporting commercial, supply chain and Technical Service with their daily operations. This may include quotation, work order processing, invoicing, service contract maintenance in system and purchase requisition/purchase order creation.

What You’ll Be Doing

• Responsible for managing any incoming customer queries
• Prepare quotation for spare parts and service contracts as required to be furnished to customers
• Perform timely service invoicing and document filing for all service activities based on quotation, purchase order and/or service contract
• Responsible for all indirect purchase requisition
• Responsible for purchase order creation
• Maintain and monitor all service agreement in service delivery system and ERP
• Responsible for spare part item creation/extension and purchase order creation to vendor
• Communicate with supply chain on availability, delivery dates or other important matters related to spare parts delivery
• Responsible for managing system transaction for spare parts including purchase order, sales order, delivery order, goods receipt, and goods movement
• Manage inventory write off
• Support hardware tracking end to end process
• Responsible for any admin support to the TS, supply chain and commercial
• Support Vaporiser hardware tracking end to end process in JDE
• Support Finance team manages accounts receivable, following up on outstanding and overdue invoices, reconciling advance payments with correct accounts to ensure correct postings
• Responsible for warranty claims requests from distributors and to process on a timely period of 2-5 working days in receipt of complaint and Trackwise to be completed immediately
• Manage logistic on export of repaired goods

What You’ll Bring

• Preferably 2 years’ relevant experience
• Customer Oriented
• Effective verbal and written English communication ski
• Proficiency in Microsoft Office
• Some knowledge of service delivery system
• Knowledgeable with ERP system (preferably JDE)
• Willing to work independently with limited guidance
