Urban Lifesphere in Petaling Jaya, Malaysia, is hiring a Front Desk & Guest Relations specialist to warmly welcome visitors, manage registrations, and handle multi-channel inquiries. You will support IT tasks, scheduling, and CRM updates while coordinating with outsourced IT teams as needed.
The role requires 1–2 years in front desk or admin roles, strong English/Bahasa Malaysia communication, and proficiency with Microsoft Office and Google Workspace.
This is a Front Desk & Guest Relations role responsible for welcoming visitors, clients, and VIP guests, managing visitor registration and security protocols, and maintaining a clean and organized front desk and lobby area. The role encompasses customer service and communication duties including managing incoming phone calls, filtering inquiries, routing them to appropriate departments, and handling customer inquiries through multiple channels. The position also involves IT support and digital administration tasks such as troubleshooting workplace tech tools, managing electronic scheduling and digital filing systems, assisting with customer database updates, and coordinating with outsourced IT teams when technical issues arise.
Welcome visitors, clients, and VIP guests with a warm, professional demeanour
Manage the visitor registration system and ensure standard security check-in protocols are followed
Maintain a clean, organized, and welcoming front desk and lobby area
Attend to incoming phone calls, filter inquiries, and route them to the appropriate departments
Manage the company's main customer touchpoints, including central emails and official messaging channels
Handle customer inquiries and resolve minor complaints promptly with a helpful attitude
Oversee and basic troubleshoot workplace tech tools (e.g., video conferencing setups, smart meeting rooms, IP phone systems)
Manage electronic scheduling, Google Workspace / Microsoft 365 calendars, and digital filing systems
Assist in updating basic information on the company's customer database (CRM), internal portal, or social media pages if required
Co-ordinate with the outsourced IT team or vendor when hardware/software technical issues arise
Minimum SPM, STPM, Diploma, or Degree in Business Administration, Hospitality, Information Technology, or a related field
At least 1-2 years of experience in front desk, client services, or administrative roles is preferred
Fresh graduates with strong tech skills are welcome to apply
Excellent verbal and written communication skills in English and Bahasa Malaysia
Ability to speak Mandarin is an added advantage
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace
Comfortable navigating cloud-based software, CRM systems, or internal databases
Fast typing speed and familiarity with modern communication tools (Slack, Zoom, Teams)
Outstanding multitasking skills, a problem-solving mindset, and a high level of patience
