Supports the corporate finance team's transactional and operational needs, and provides calendar/scheduling support to the Director. Ideal for someone detail-oriented, organised, and comfortable managing multiple ongoing matters at once.
Key Responsibilities
1. Transactional & Filing Support
- Assist corporate finance team with transactional matters as needed, including but not limited to coordinating signing of documents, drafting and preparing letters and correspondence, and completing application forms
- Maintain proper filing systems and ensure housekeeping of deal documents
- Track and update shareholding records/registers
- Maintain billing schedules and track invoice issuance
- Monitor collection status and follow up on outstanding payments
- Flag overdue accounts to relevant team members
3. Meeting Coordination
- Organise internal and external meetings (scheduling, room/venue booking, logistics)
- Take minutes where needed
4. Calendar & Schedule Management
- Manage Director's calendar and appointments
- Coordinate scheduling across multiple stakeholders
- Send reminders on upcoming commitments
5. General Administration
- Support ad-hoc requests from the team
Requirements
- Diploma/Degree in Business Administration, Finance, or related field
- 1–3 years' relevant experience in corporate finance/admin support; fresh grads with strong organisational skills may be considered
- Proficient in MS Office / Google Workspace
- High attention to detail, discretion with confidential information
- Good written English for correspondence
- Professional conduct and demeanour at all times
- Able to multi-task and work independently
- Able to work in a fast-paced environment and manage competing priorities
