Job summary

IPG Mediabrands in Malaysia is seeking a proactive Finance Operations professional to support the operational and financial management of investment deals. You will monitor utilization, reconcile data, track investment pacing, and prepare monthly reports, collaborating with Investment, Accountability, and Finance teams as well as external vendors.

You will assist with month-end closing, maintain accruals and revenue records, investigate variances, and highlight trends.

Qualifications

  • Bachelor’s degree required in Finance, Accounting, Business Administration, or a related field.
  • 1–2 years of relevant working experience in finance operations, commercial finance, accounting, or a related function.
  • Strong numerical and analytical skills with the ability to reconcile large volumes of financial and operational data.
  • Strong attention to detail and a proactive approach to identifying and resolving discrepancies.
  • Good organizational skills and ability to manage multiple deadlines for monthly reporting.

Responsibilities

  • Perform monthly tracking and reconciliation of investment deals, including commitments, utilization, billings, costs, savings, and remaining balances.
  • Monitor deal utilization and investment pacing against billing updates and contractual targets.
  • Coordinate with internal stakeholders to obtain and validate utilization information.
  • Track outstanding, unbilled, and accrued items to ensure completeness and accuracy of financial records.
  • Conduct cost vouching and validate supporting documents to ensure costs are accurate and attributable to deals.
  • Liaise with vendors on deal pacing, cost confirmation, invoicing, payment status, and margin updates.
  • Update and maintain accurate cost, revenue, utilization, and savings records to support monthly closing.
  • Prepare monthly media spend, deal utilization, investment pacing, savings, and performance reports.

Job description

The candidate will be responsible for supporting the operational and financial management of investment deals. This includes monitoring deal utilization, reconciling utilization, tracking investment pacing, validating and preparing monthly reports. The role requires close collaboration with internal stakeholders, including the Investment, Accountability, and Finance teams, as well as external vendors, to ensure that all related information is accurate, complete, and updated on a timely basis. The candidate will also support monthly financial closing by maintaining cost and revenue records, monitoring accruals and outstanding items, investigating discrepancies, and highlighting significant variances or unusual trends.

JOB RESPONSIBILITIES
  • Perform monthly tracking and reconciliation of investment deals, including deal commitments, utilization, billings, costs, savings, and remaining balances.
  • Monitor deal utilization and investment pacing against billing updates, contractual terms, and agreed targets.
  • Coordinate with internal stakeholders, including the Investment, Accountability, and Finance teams, to obtain and validate utilization information.
  • Track and follow up on outstanding, unbilled, and accrued items with the relevant stakeholders to ensure completeness and accuracy of financial records.
  • Perform cost vouching and validate supporting documents to ensure that costs are accurate, properly recorded, and attributable to the relevant deals and campaigns.
  • Liaise with vendors on deal pacing, cost confirmation, invoicing, payment status, and margin updates.
  • Update and maintain accurate cost, revenue, utilization, and savings records in the relevant systems and trackers to support monthly financial closing.
  • Prepare monthly media spend, deal utilization, investment pacing, savings, and performance reports.
  • Reconcile information across deal trackers, billing records, vendor reports, and accounting systems, and investigate any discrepancies identified.
  • Identify and highlight significant variances, anomalies, risks, underutilization, and unusual trends for further review and action.
  • Assist with month-end closing activities, including the preparation and validation of accruals, revenue, costs, and supporting schedules.
  • Maintain proper documentation and audit trails for all deal-related transactions, calculations, reconciliations, and approvals.
  • Ensure that deal tracking and reporting processes comply with company policies, contractual requirements, internal controls, and audit requirements.
  • Support internal and external audit requests by providing relevant schedules, reconciliations, and supporting documentation.
  • Identify opportunities to improve deal-tracking processes, strengthen controls, and support reporting automation.
  • Stay up to date with relevant systems, software tools, and productivity techniques.
  • Undertake ad-hoc assignments as required by the Team.
JOB REQUIREMENTS
  • Minimum Bachelor’s Degree in Finance, Accounting, Business Administration, or a related field.
  • At least 1–2 years of relevant working experience in finance operations, commercial finance, accounting, or a related function.
  • Strong numerical and analytical skills, with the ability to reconcile large volumes of financial and operational data.
  • Strong attention to detail and a proactive approach to identifying and resolving discrepancies.
  • Good organizational skills, with the ability to manage multiple deadlines and complete monthly reporting within tight timelines.
  • Confident and professional in coordinating with internal stakeholders and external vendors.
  • Good command of English (written and spoken).
  • Proficiency in Microsoft Excel and familiarity with accounting systems (e.g., SAP/iSAP) is an added advantage.
  • Ability to work independently while collaborating effectively with cross-functional teams.
