Oryx Stainless Malaysia Sdn. Bhd. in Johor is seeking an experienced Contracts, Documentation & Customer Service Manager to lead the function that handles purchase confirmations, contractual docs, customs clearance, inventory registration and shipment tracking.
You will collaborate with Commercial, Operations, Finance, Quality and Logistics to ensure accurate documentation and timely settlements, while delivering outstanding service to internal and external stakeholders.

From our production facilities in the Europe and Asia, we supply the biggest smelters worldwide for their stainless steel production. After the huge success of our Thailand operation, we now commence operations on our second Asian facility in Johor, Tanjung Langsat.
We source in Malaysia, from neighbouring countries, rest of APAC and globally.Our end product is all exported to smelters in the region.
As our operations continue to grow, we are looking for an experienced Contracts, Documentation & Customer Service Manager to lead one of the most important functions within our business.
This is much more than a documentation role.
You will lead the team responsible for managing the complete transaction process—from confirming purchases and preparing contractual documentation through to customs clearance, inventory registration, shipment tracking, customer service, claims management and final settlement.
Working closely with Commercial, Operations, Finance, Quality and Logistics, you will ensure every transaction is accurately documented, efficiently coordinated and completed on time.
This position requires excellent communication, coordination and organisational skills, together with the ability to manage multiple priorities while delivering exceptional service to both internal and external stakeholders.
You'll be at the centre of our operations, connecting Commercial, Operations, Finance, Quality, suppliers, customers, logistics partners and government authorities.
Leading the Contracts, Documentation & Customer Service team, you'll oversee every transaction—from purchase confirmation and contractual documentation through to customs clearance, inventory registration, shipment tracking and final settlement.
By keeping every detail accurate, every stakeholder informed and every shipment moving, you'll ensure our operations run efficiently while delivering outstanding customer service in a fast-paced international business.
Lead and develop the Contracts, Documentation & Customer Service team.
Coordinate purchase and sales contracts from confirmation through to final settlement.
Ensure all import, export and shipping documentation is prepared accurately and on time.
Track shipments from suppliers through customs clearance, yard receipt and customer delivery.
Maintain accurate inventory records and transaction documentation in Navision.
Coordinate closely with Commercial, Operations, Finance, Quality and Logistics teams.
Work with customs, SIRIM and other government authorities to ensure compliance.
Resolve documentation issues, shipment delays and customer enquiries promptly.
Ensure all transactions are accurately recorded and completed in accordance with company procedures.
Continuously improve documentation processes and customer service standards.
At least 8 years' experience in international trade, logistics, shipping, supply chain or commercial operations.
Strong knowledge of shipping (sea freight), import & export documentation and customs procedures.
Proven experience managing inventory recording, reporting and ERP systems (Navision or similar preferred).
Strong communication and coordination skills, with the ability to work effectively across multiple departments and stakeholders.
Excellent organisational skills with the ability to manage multiple priorities and transactions simultaneously.
Proven leadership experience with the ability to develop and grow a high-performing team.
Hands-on, detail-oriented and able to remain in control in a fast-paced environment.
Independent, self-driven, responsible and highly motivated.
High proficiency in English, Microsoft Excel and ERP/Data Management Systems.
Good command of Bahasa Malaysia. Chinese language skills will be a strong advantage and will be given priority consideration.
