Job description

The Commercial Tender Executive plays a vital role in supporting the company’s commercial operations by managing tender submissions, ensuring compliance with regulatory standards, and identifying new business opportunities through vendor registrations and market intelligence. This position requires a proactive and detail-oriented individual with strong coordination and communication skills, capable of working cross-functionally to ensure timely, accurate, and competitive tender outcomes. The Commercial Tender Executive shall also perform ad-hoc tasks as directed by the superior or Management when required.

1) Key Responsibilities:

• Monitor multiple tender platforms to identify suitable business opportunities.
• Review and analyze tender documents to ensure full comprehension of technical and administrative requirements.
• Coordinate input and documentation across departments such as Project, Finance, Legal, and HSE.
• Prepare and manage the timely submission of complete and compliant tender proposals.
• Identify new tender platforms and manage company registrations.
• Maintain active and up-to-date vendor profiles on all relevant platforms.
• Track tender postings, updates, and deadlines to ensure readiness for participation.

Compliance & Documentation Management

• Maintain accurate records of licenses, certifications, and statutory documents.
• Ensure continuous compliance with relevant local regulations and client-specific standards.
• Conduct internal audits and prepare compliance reports for management review.

Project and Tender Execution Support

• Support project teams post-tender award by providing necessary documentation, briefings, and compliance checklists.
• Serve as liaison between the company and clients during the tender and project execution phases.
• Provide administrative support and coordination across the full tender-to-project lifecycle.

Strategic & Continuous Improvement Initiatives

• Analyze past tenders to extract insights and improve future submissions.
• Recommend enhancements to tender preparation processes and tools.
• Stay updated on industry regulations, market developments, and procurement trends.
• Organize internal workshops and training on tender management best practices

2) Authorities

• Coordinate tender activities and make recommendations for bid participation.
• Liaise with external platforms, clients, and vendors for tendering and compliance matters.
• Prepare commercial summaries and risk assessments for management decision-making.

3) Requirements & Qualifications

• Education: Bachelor's or Master's degree in Business Administration, Finance, Law, or a related field.
• Experience: Minimum 3-5 years of relevant experience in commercial, tendering, or contract management.
• Languages: Fluent in English (spoken and written); proficiency in Bahasa Malaysia is an advantage.
• Technical Knowledge: Proficient in Microsoft Office applications (Excel, Word, PowerPoint) and tender management platforms.

The establishment inaugurated as head office in Miri, Sarawak has rapidly expanded its business to Bintulu (Sarawak) and Kuala Lumpur. We are also specialise in timber and engineering sector to provide its client with variety of services. The main goal is to offer clients with one-stop services by provind necessary equipment and services. We also provide wide range of repair, installation and maintenance services for marine vessel, deck and engineering by keeping our workshop and wharf in close proximity to maximize quick and flexible service to our clients
